Job Description

The Role

As our business matures and scales, it is essential that we build a Business Development team that provides outstanding services to our key customers, both existing and new. This team is responsible for:

Converting leads in to training and membership sales

Key account management

Securing funding

Securing Training Partnerships

All commercial management activities within the business

As Business Development Coordinator & Executive Assistant , you will work across the Business Development team providing operational, commercial, and executive-level support.

You will also provide executive assistance to the CEO and Business Development Director, with a strong focus on customer-centric diary planning, meeting preparation, and ensuring that commitments made to customers and partners are effectively followed up and delivered.

1. Customer Service



You will be responsible for ensuring that all inbound enquiries (phone calls, ticket requests and emails) regarding training and membership are serviced appropriately.

You will be a first responder to sales enquiries, delegating the enquiry to the most appropriate team member or responding directly.

You will monitor the ticketing system to ensure all enquiries are responded to within specified service levels professionally and effectively.

You will monitor and manage customer service issues within the Business Development team, maintaining an Action Log and ensuring issues are resolved in a timely manner. You will report on customer satisfaction and levels of customer service provided by the Business Development Team to the BD Director

2. Key Account (Business Development) Support



You will support the Business Development team in the following ways:

Scheduling and coordinating appointments for members of the Business Development team, ensuring diaries are planned strategically around customer needs and commercial priorities

Attending client meetings (as required), taking accurate notes, updating the CRM, and ensuring all follow-up actions are clearly captured and completed

Tracking commitments made to customers and partners and ensuring agreed actions are delivered within expected timeframes

Providing support to customers via email and phone throughout the booking, application, and onboarding process

Providing progress reports and updates to key customers

Ensuring that customers are invoiced correctly and that outstanding payments are followed up in an appropriate manner

Ensuring customers receive the products and services to which they are entitled, working closely with internal teams to ensure a high standard of delivery and fulfilment

Planning and organising TRA's presence at conferences and exhibitions

3. Executive Support (CEO and Business Development Director)



You will provide high-quality executive assistance, including:

Proactive diary planning and management for the CEO and Business Development Director, with a particular focus on business development activity, customer engagement, and key account meetings

Preparing meeting agendas, briefing notes, and background information ahead of customer, partner, and stakeholder meetings

Capturing actions, decisions, and commitments from meetings and ensuring these are tracked through to completion

Supporting follow-up communications with customers and partners to maintain momentum, trust, and accountability

Acting as a trusted coordination point between senior leaders, key customers, and internal teams

Handling sensitive information with discretion and maintaining strict confidentiality at all times

Updating relevant presentations and other marketing collateral

4. Team Coordination and Inter-Team Collaboration



You will take full responsibility for:

Leading the Business Development team's data management, ensuring high-quality and accurate data is maintained across all systems

Ensuring all key company systems are kept up to date and that issues within or across systems are identified and resolved in a timely manner

Working in partnership with the Customer Success Coordinator to ensure a seamless transition from sale to active client

Qualifications, Skills, Experience and Knowledge

Qualifications

:

A business, marketing or Business Development qualification is preferred but is not essential. Previous experience is essential.

Knowledge

:

Very good understanding of business, preferably in the built environment sector

Knowledge of the training sectors.

Understanding of effective business development and key account management processes

Experience

:

Minimum of 2 years as team coordinator in a commercial environment.

Experience of Freshworks CRM (or similar) to an advanced level

Experience supporting senior executives and/or business development leaders

Experience of working in a B2B training environment is preferred.

Skills:



Strong interpersonal skills

Excellent customer management skills

Good written and verbal communication skills, with exceptional spelling and grammar.

Advanced proficiency with Microsoft Excel and PowerPoint

Basic graphic design, such as Canva or Adobe software

Data analysis skills, including creating graphs, pivot tables etc.

Highly organised with exceptional attention to detail.

Capable of performing effectively whilst under time pressure

Professional and relatable, always demonstrating ethical behaviours.

Job Types: Full-time, Permanent

Pay: 25,000.00-32,000.00 per year

Work Location: Hybrid remote in Stafford ST16 1ET
