Job Description

We are looking to recruit an experienced Business and Finance Manager for our Golf Club, Boutique Hotel and hospitality venue which opened after a major development project in October 2023.

Situated in the beautiful town of Tenby, Pembrokeshire, sitting in the Pembrokeshire Coast National Park and next to one of the award-winning sandy beaches, the facility provides 22 bedrooms, a high-end restaurant facility, busy bar/coffee lounge and separate function room. The venue is busy all year round with both local and regional visitors as well as holiday makers to the area.

The facility is adjacent to Wales's oldest golf course which is in the top five courses in the country and attracts both members and visitors looking to visit and play as well as holidaymakers and locals just looking to enjoy a coffee, a top dining experience, a drink or a few nights stay in this beautiful National Park environment.

Purpose of the Job:



Responsible for the strategic oversight, development and management of Tenby Golf Club Ltd finance and business functions with overall responsibility for the resources to optimise efficiencies, income and sustainability.

The focus will be to ensure effective and efficient management of Finance and business support functions specifically in the areas of: Governance, Finance, HR, H+S, Office management and administration ensuring that these are delivered to fixed deadlines.

Responsible for the support functions that facilitate the Hospitality, Golf and Marketing teams to achieve the aims and objectives of the organisation.

To line manage a Finance Officer and an Admin Officer, Head Greenkeeper, and Marketing officer to ensure effective delivery of support services to the Chair of Directors and Board.

Will be a member of the Senior Leadership Team and will contribute to the strategic leadership of the organisation.

Key areas of Responsibilities:



Leading on financial strategy, scenario planning, cashflow management/ forecasting cost and financial analysis and implementation.

To act as the main contact and liaison point with TGC Ltd funders and banks.

Reporting to the Chair of Directors and Board to facilitate informed decision making

Leading and line managing the Business & Finance team to successfully meet the needs of TGC Ltd.

Dealing with grant, loan, and lease applications and report to the Board.

Supporting business development and planning for services.

Responsible for and developing/implementing business support strategies including HR, Health and Safety, IT, Data management and security and Office Management

Contributing to organisational strategy and delivery of Governance, risk management and compliance functions. Specific responsibility for organisational Finance

Main contact/ Liaison point with the Golf Professional Franchise to ensure their contractual obligations, targets, and obligations are successfully met.

Prepare the Annual budget as well as quarterly forecasts - Monitor the organisation's performance against these budgets and forecasts in conjunction with the Chair.

Prepare and provide advice and insight on quarterly financial management information reports to the Chair of Directors.

Develop, improve and maintain robust and effective systems, policies, procedures and exercise control for all finance & investment elements, accounting and payroll processes.

Work with the Chair of Directors to ensure appropriate financial risk assessments are performed and appropriate processes implemented. Lead role for reporting to the Board's Finance Committee.

Work with the Chair and Directors to support the future development & sustainability of TGC Ltd and its business and financial services.

Support development of project business plans, financial projections and analysis.

Provide financial information and advice to Line managers and staff to support them to develop the performance of service delivery.

Participate in project finance meetings with funding bodies, alongside Line Managers/Leads and/or the Chair of Directors as needed.

To delegate and oversee day to day & quarterly bookkeeping activities undertaken by the Finance Officer as listed below:--



Ensuring all statutory reporting, contract compliance, VAT reporting, and annual accounts are completed in a satisfactory and timely manner in conjunction with external agencies (e.g. company accountants/ auditor).

Approving invoices for payment.

Management of Accounting software (Croft) to maintain accurate records, including division of income and expenses across the various sections.

Authorising bank statements and monthly reconciliations.

Approving and processing VAT returns

Calculating allocations of direct, overhead and management costs.

Approving new joiners & leavers

Monitor the use of payroll software

HMRC reporting and actions

Pensions processing

Governance



Undertake the role of Company Secretary.

Attend, lead and contribute to relevant internal and external meetings relating to organisational governance including the company AGM, Board meetings, and Finance Committee meetings in conjunction with the Chair

Ensure timely submission of Companies House returns and such other returns as may be required by Government bodies, funders and partners.

Monitor/update the company Finance & Governance Policy and Procedures, keeping abreast of legislative changes and highlighting areas for review.

3 Specific responsibilities for Business Support



Oversee the day to day running of Office Management and HR for the effective development and implementation of HR, H+S, Finance and Office Management processes

Ensure that HR, H+S , employment and legal policies, procedures and practices are compliant and fit for purpose; that these are accessible to all and are implemented consistently across the organisation.

Facilitate access to HR administration and ensure that all employment administration is accurate and accessible.

General



Promote and undertake all work activities in line with TGC LTD values

Attend and contribute to team and organisational meetings as required.

Comply with TGC Ltd policies and practices, following procedures as required.

TGC Golf Club related activities



Work with Chair and Marketing directors to set annual membership fees and golf/Play and Stay price points.

Ensure timely processing of membership subscriptions and Clubs direct debit scheme.

Ensure all membership admin is processed

Work closely with marketing to maintain and grow membership, green fee and play and stay (Dormy) income.

Link between members issues and concerns and the Board

Ensure successful and regular members communication.

Develop members benefit programmes.

Together with the marketing team, monitor, and deliver agreed membership growth targets in specific categories.

Person Specification for Business & Finance Manager Essential Desirable Qualifications and Knowledge:



Extensive knowledge and experience of financial and business management, systems, processes and policies, including governance, IT, HR, H+S, office management. Management accounts and payroll.

Desirable - Professional qualification and membership of professional body. Either full or part finance qualified (e.g. CIMA/CIPFA/ACCA/CA AAT or finance degree)

Knowledge of current finance/business HR and H+S practice.

VAT knowledge

Proficiency with MS Office (Excel, Word, Outlook, etc.) - strong excel skills key.

Excellent financial analysis skills to examine financial consequences of proposals and plans.

Ability to think creatively. Ability to communicate clearly.

Presenting complex financial information to support decision-making.

Leadership and management skills.

Business planning and Financial Strategy.

Competent with a range of IT Systems. Bookkeeping systems. Croft or other accounting software.

Overseeing or processing payroll.

Experience:



Extensive experience of all aspects of financial management, annual & management accounts, cashflow, reporting, development of budget and financial decisions, investments, reserves.

Experience of supervising or managing business support functions in particular HR, H+S, IT and office management.

Previous experience of working at a Finance/Business Senior or Manager level.
