About the Role
We are seeking a highly organised and proactive
Personal Assistant (PA)
to provide comprehensive administrative support to both the
Finance and Facilities Manager
at Lea Wharf Medical.
This is a varied and rewarding role that will require exceptional organisational skills, attention to detail, and the ability to prioritise effectively in a fast-paced environment. You will play a key role in ensuring the smooth running of day-to-day operations across two key departments, supporting strategic and operational objectives.
You'll be working in the office alongside a supportive team responsible for HR, Finance, Health and Safety, Quality Auditing, and the smooth running and management of our building facilities.
Key Responsibilities
Provide high-quality administrative and PA support to the Finance & Facilities Manager.
Manage diaries, schedule meetings, and coordinate appointments, ensuring effective time management.
Prepare meeting agendas, take accurate minutes, and follow up on actions.
Draft correspondence, reports, and presentations, maintaining a professional standard of communication.
Manage and maintain filing systems (electronic and paper-based) in line with confidentiality and data protection requirements.
Assist with financial and facilities administration, including invoice processing, budget tracking, and supplier liaison.
Liaise with internal and external stakeholders, providing a courteous and efficient point of contact.
Contribute to project coordination and process improvement initiatives within both departments.
About You
The ideal candidate will have administrative experience within a busy environment and be confident working to deadlines. You'll be someone who enjoys variety, takes pride in delivering excellent support, and brings a proactive, organised approach to your work. Professional, adaptable, and able to manage multiple priorities, you'll play an essential role in keeping our operations running smoothly.
A positive attitude and strong communication skills will be key to thriving in this role. Discretion and attention to detail are essential, as is the ability to work collaboratively as part of a close-knit team.
Essential skills and experience:
Previous experience in a PA or administrative role.
Excellent written and verbal communication skills.
Strong organisational and time management abilities.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Discretion and the ability to handle confidential information appropriately.
A proactive approach with the ability to work independently and as part of a team.
Desirable:
Experience within a healthcare, public sector, or similar regulated environment.
Familiarity with finance, or quality systems and processes.
