In the role of Merchandising and Buying Assistant, you will play a key role within the Merchandising and Buying Functions of the business, providing exceptional service and support to the team. This is an exciting opportunity to work in a thriving back office team, where you will learn from highly experienced professionals, whilst contributing to the success of a leading brand in the fitness industry.
Responsibilities:
Forecasting/Buying
Placing purchase orders on Bright Pearl and sending to suppliers
Assist in the maintenance of the line detail, ensuring it is kept up to date and accurate at all times
Provide communication as required to finance to support payment requirements
Product & Range Development
Support in the set up / maintenance of the NPD critical path and organisation of all meetings as required.
Ensure that proto sample development is on track, with supporting costing and technical information readily available. IE, artworks, spec sheets, CADs etc.
Product Information Management
Maintain the product masterfile, with all required details kept up to date around cost prices, spare parts, weights and dimensions.
Ensure that cost prices are kept up to date in Bright Pearl and that any amendments are reflected in the Product Masterfile.
Manage new sku set up on the system to ensure timely and accurate details are established.
Work closely with Marketing Team to ensure that any requested imagery / content / samples required from suppliers are submitted in line with agreed marketing / promo timelines etc.
Assist the Buying team in ensuring that the rest of the business has all required product information provided in line with their planning timelines.
Product Quality & Compliance
Ensure that all SEDEX requirements are up to date, working closely with both SEDEX and the suppliers to support ethical compliance and transparency.
Ensure that audit logs and supplier manual signatures are up to date and support the Buying team in chasing any established CAPs.
Escalate if QC checks are not on schedule and ensure the Merch team are kept informed on changes in a timely manner.
Support in all administration related to supply chain including supplier manual sign-up, technical and SEDEX audit information.
Production and Shipping
Create new split orders as required if volumes are not in line with contracted details
As final production volumes become clear, update any relevant administration to ensure system records are accurately maintained
Production approvals - Liaise with suppliers to ensure all Buying / Product approvals are completed, in line with the production critical path, and any exceptions flagged to the Buying / Merchandising teams.
Send a weekly status update sheet to suppliers for them to update regarding production status
Post QC check work with Buying to get updated details and ensure Bright Pearl updated
Assist the Production Merchandiser with reconciling final confirmed production and packing list information with Bright Pearl
Assist the Production Merchandiser with chasing the suppliers to ensure bookings made with the freight forwarders and final costings received
Ensure that the service team and the rest of the business are provided with up-to-date summary of orders on the water and latest forecasted dates (on order report)
Support with the ordering of spare parts as required and maintain the log
Delivery
Ensure that the line detail is updated once stock received
Trading
Support the team with any related administration
General
Support with any ad-hoc tasks
