Job Summary
We are seeking a highly organised and proactive Buying Department Coordinator to support the procurement function. This role is vital in ensuring materials, plant, and waste services are ordered efficiently and delivered on time to support ongoing site operations. The successful candidate will work closely with the procurement team, site managers, suppliers, and accounts to maintain smooth procurement processes across multiple live projects.
Key Responsibilities
Provide day-to-day administrative support to the procurement team, including raising purchase orders, managing delivery schedules, and maintaining supplier records
Liaise with site teams to gather material and plant requirements and coordinate timely orders to avoid delays to site operations
Communicate directly with suppliers to obtain quotes, confirm lead times, and track deliveries
Maintain and update procurement trackers, order logs, and delivery schedules for ongoing projects
Support with sourcing and onboarding new suppliers and subcontractors as required
Ensure procurement documentation is accurately recorded and filed
Assist with resolving delivery issues and invoice queries in coordination with site teams and finance
Monitor stock levels of frequently used materials and assist with stock control processes
Ensure compliance with internal procurement procedures and assist with audits and reporting requirements
Key Skills & Qualifications
Previous experience in a procurement, buying, or administrative role within the construction or civil engineering sector is desirable
Good understanding of construction materials, plant, and groundworks processes is an advantage
Excellent organisational and multitasking skills with strong attention to detail
Strong communication and interpersonal skills for liaising with site teams and suppliers
Proficiency in Microsoft Office, especially Excel; experience with procurement or construction management software is beneficial
Ability to work under pressure and manage priorities across multiple sites and deadlines
A proactive and collaborative approach to supporting team objectives
