About the role


We are looking to recruit a self-motivated and enthusiastic individual to support the small team in the Bodleian Libraries Capital Projects Office working on major capital projects including the refurbishment of historic listed building and the construction of new-builds, as well as minor works projects.

You will be a member of a small office representing the client and end-user in the design, development and delivery of these projects. You will liaise with colleagues within Oxford University's Gardens, Libraries and Museums Division (GLAM), with the University's Estates Services, and with appointed consultants and contractors.

This is a varied role, dealing with space planning and management, procurement, purchasing and invoicing, financial reporting, removals and storage and minor works.

This is a full-time, fixed-term position, working 36.5 hours per week for 3 years. The role supports working from home after initial training, on average two days per week. This position is primarily based in the Clarendon Building in Oxford, with occasional visits to sites of active projects in Oxford and Swindon.

About You


You will have proven experience in administration, including project administration and organisation. You will demonstrate excellent administrative and organising skills, and will have procurement experience including tendering for furniture and equipment and small-project refurbishment works. You will have excellent interpersonal and communications skills with the ability to build and maintain relationships with internal and external stakeholders at all levels, as well as the ability to organise work time efficiently and handle competing priorities to deliver results to a required high standard and to deadlines. You will also have strong IT skills with working knowledge of MS Office including Word and Excel.
