Job Summary:
The Care Home Administrator plays a key role in the smooth and efficient running of the care home by managing all administrative functions. This includes supporting the Home Manager and staff team with finance, HR, recruitment, record-keeping, and customer service, ensuring compliance with regulatory standards and providing excellent service to residents, their families, and visitors.
Key Responsibilities:
1. General Administration:
? Maintain accurate resident and staff records (digital and paper-based).
? Manage correspondence including letters, emails, and telephone queries.
? Schedule appointments and meetings, preparing agendas and taking minutes as needed.
? Ensure office supplies and stationery are stocked and ordered efficiently.
2. Finance and Payroll:
? Handle resident billing and fees, liaising with families, local authorities, and funding bodies.
? Manage petty cash, reconcile accounts, and ensure accurate financial records.
? Assist with payroll data input and submission to payroll providers.
3. HR and Recruitment Support:
? Maintain staff files and training records in line with CQC requirements.
? Support with recruitment tasks including advertising roles, arranging interviews, and onboarding new staff.
? Monitor staff absences and annual leave, keeping accurate records.
4. Compliance and Record Keeping:
? Support the Home Manager in all aspects of administrative tasks including preparing for inspections (e.g., CQC, Local Authority).
? Ensure policies and procedures are up to date and accessible.
? Maintain confidentiality and data protection standards in all tasks.
5. Customer Service:
? Welcome visitors in a warm and professional manner.
? Handle telephone and in-person enquiries promptly and sensitively.
? Act as a point of contact for families and external agencies.
Qualifications and Experience:
Essential:
? Proven experience in an administrative role, ideally within a health or social care setting.
? Excellent organisational, communication, and IT skills.
? Ability to manage sensitive information confidentially.
? Proficient in Microsoft Office (Word, Excel, Outlook).
Desirable:
? Experience with care management systems (e.g., Person Centred Software, Nourish, or similar).
? Knowledge of CQC regulations and care sector compliance.
? NVQ Level 2 or 3 in Business Administration or equivalent.
