Job Summary


The CELF Administrator is responsible for providing clerical support to the CELF team. This involves managing and maintaining all systems involved in the smooth day to day running of a busy engineering department. The Engineering Administrator will report directly to their appointed Chief Engineer for all Fleet/Apprentice related duties.



To be the first point of contact for the Engineers regarding general queries.



Maintaining and updating (DAS payroll system) and the payroll Excel spreadsheet. Utilizing engineers' weekly clock cards when DAS is inoperative.



Managing Apprentices, attendance, College, and Locations.



CV collation and review, assist with interviews, creating exam packs and additional support when required.



Managing Agency Staff Time sheets/clock cards and invoices.



Maintaining and updating the staff files of all the staff, including apprentices.



Room booking for apprentice training and exams, and any additional booking requirements including setting up meeting rooms when required.



Producing and creating offer letters, contracts, contract variations and staff files.



Booking drug and alcohol tests and medicals.



Holiday/Engineering Bonus Calculations for all depots.



Recording attendance for mileage bonuses for eligible staff and producing monthly reports.



Maintaining weekly wages tracker.



Producing sickness and absence records for the payroll department at Head Office.



Accurately recording Attendance, engineering holidays and lost time on the staff planner.



Master Tec work dockets



Preparing cross charges as direct from the Engineering Tec Team.



Liaising with Head Office departments regarding engineering



Preparing return to work forms.



Liaising with Head Office departments regarding engineering.



General Administration duties, including Archiving.



Any additional tasks as agreed with the Area Chief Engineer.



Provide cover for CELF Compliance Administrator, if necessary.


Essential Criteria


Computer Literate with excellent knowledge of Word, Excel and Outlook computer packages.

Previous experience in an admin role.



Previous experience in payroll processing.




Excellent written and spoken English with the ability to communicate clearly and at all levels.

Excellent attention for detail.



Ability to operate as a team player.



Ability to work well under pressure.



Ability to take accurate minutes of meetings.



Highly organised, motivated, and able to prioritise workload.



Exceptional customer service skills with a natural flair of providing support and guidance and going 'the extra mile'.



Ability to use initiative and identify solutions when a problem or difficult situation arises.



Discreet when managing confidential matters.



Ability to collate and interpret statistical data.




Hours of Work


38 hours per week Monday-Friday
