About The Role
We are seeking a highly organised and proactive Administrator to become the operational heart of our busy centre. This is a dynamic and demanding role that is crucial to our success. While many community centre roles are considered relaxed, this position is fast-paced and varied. The ideal candidate is a natural multi-tasker who excels at managing competing priorities and enjoys being at the centre of the action. You will report directly to the Centre Manager and play a key part in ensuring our facilities run smoothly and efficiently.
Core Responsibilities
Your role will be varied, covering three key areas:
Financial Administration:
Manage day-to-day financial processing, including invoicing, credit control, and preparing payroll data.
Handle cash, perform till reconciliations, and generate financial reports.
Maintain accurate records using our accounting software (e.g., QuickBooks, Xero, or Sage).
Centre Operations & Customer Service:
Serve as the first point of contact for the centre, providing a warm and professional welcome to all visitors.
Manage the entire booking process for our room hire, from initial enquiry through to invoicing and follow-up.
Ensure the reception office is run efficiently and handle daily communications via phone, email, and in-person.
General administration duties - filing, archiving, ordering, reporting.
Marketing & Communications:
Create engaging content for our social media channels to promote the centre's activities and services.
Update and maintain the content on our website.
Liaise with trustees, hirers, and other key stakeholders.
About You
We are looking for a candidate who can demonstrate the following skills and experience.
Essential:
A minimum of 3 years of proven experience in a finance or accounts administration role.
High proficiency in Microsoft Office, particularly Excel, Word, and Outlook, and confidence using accounting software.
Exceptional organisational skills with the ability to prioritise and manage multiple tasks effectively in a fast-paced environment.
Excellent written and verbal communication skills, with a professional and welcoming demeanour.
A proactive and resourceful mindset, with the ability to work independently and take initiative.
Desirable:
Experience managing social media for a business or non-profit organisation.
Previous experience working in a charity, community-focused, or customer-facing role.
