Global Adventure Challenges are looking for a bright, enthusiastic and effective Challenge Events Manager to join our award-winning team. We are a Tour Operator based near Chester who specialise in organising worldwide charity challenge events. The successful person will become an integral team member of the Operations Team.
You will be working in a fast-paced environment and will possess excellent skills in areas such as organisation, multi-tasking and have the ability to prioritise workloads, along with excellent attention to detail, communication and customer service skills allowing you and ourselves to maximise relationships with our customers and suppliers.
We will be looking for somebody with experience of adventure travel (either or both in the UK or Overseas), has a sound knowledge of the principles of safety and risk management of group outdoor activities such as trekking and cycling, including the delivery of the activity itself on the ground.
An interest in or experience of working in the charitable sector is desirable, but not essential as training for this office-based role will be given.
Our Operations team are responsible for all aspects in the delivery of our charity challenges. We always look to maintain and achieve the highest of standards to ensure our excellent reputation remains intact.
Key tasks involved in the role are detailed below:
Making and managing all supplier bookings associated with the challenges you are responsible for - this includes but not limited to flights, hotels, Eurostar, ferries, coaches, vehicles.
Booking in challenge leaders, event managers and event crew to work on your allocated challenges.
Collecting and collating all participant information in a timely and accurate manner, then sending participant information to suppliers in the lead up to challenge.
Updating and writing supporting documents that are sent to participants ahead of their challenge.
Designing of routes using mapping software for UK treks, cycles and European cycle challenges
Production of event materials such as route guides, armbands, welcome packs.
Preparing event kit that is sent out on our challenges including first aid kits
Performing site visits and reconnaissance as required
Taking responsibility for the safety of your allocated challenge - including but not limited to completion and updating of Challenge Specific Risk Assessments, incident reporting and follow up action points, viability of routes taken
Finalising all aspects of the challenge ahead of delivery including all necessary paperwork
Perform briefings and debriefings with challenge leaders, event managers and clients
Delivering pre-challenge zoom calls to participants, charity and corporate clients
Dealing with participant queries in a timely manner and delivering exceptional customer service to participants.
Working on a small number of challenges you are responsible for - this will include weekend work with TOIL
Ensuring all correspondence that is sent to our participants from Global Adventure Challenges is of the highest quality and assisting with the delivery of our challenge communication strategy.
Evaluating feedback after each Challenge to look to continually improve clients' experience.
Working in the Emergency 'on call' rota team as and when required.
Essential skills required:
Proven track record of successfully working on various processes or projects being ran at the same time.
Proven working experience in travel sector, preferably with a tour operator on group travel.
Proven experience working and delivering group outdoor activities, whether this be in the UK or Overseas.
Experience, qualifications and a thorough understanding of health & safety, risk management of outdoor group activities and in particular trekking and/or cycling.
Excellent personal customer service skills.
Great written and oral communication.
Able to work to strict deadlines.
Excellent time management skills.
Experience of working in a busy team or office.
Have an excellent eye for detail.
Excellent working knowledge of IT packages such as Microsoft and experience working with databases.
Desirable skills required:
Experience of working with database and software such as Microsoft Teams & Dynamics.
