Home based but the candidate
MUST reside within the East Midlands region
(preferably Nottingham or Leicester). Regular Teams and face to face meetings. Travel to Leicester, Nottingham, locations across the East Midlands required.

: 25 days full-time pro rata. Day off for your birthday. Additional leave during Christmas closure period.

About PASIC
PASIC provides practical, social, and emotional support to families of children and young people with cancer in the East Midlands. We are the only local charity offering support from diagnosis through treatment and beyond, helping families feel less alone in the toughest of times.
We're looking for a highly organised and proactive Administrator to join our friendly team. This is a varied and rewarding role where you'll play a key part in keeping our operations running smoothly, supporting our team, and helping to deliver a positive experience for the families and supporters we serve.
Please note this role is not suitable for parents/carers of children currently receiving PASIC support, parents who have been bereaved in the last 3 years or if your child's treatment ended less than 3 years ago[SB1] . This is to ensure PASIC families are given the best possible care and support without any potential conflict of interest.
The Role
The Administrator will provide wide-ranging administrative support across the organisation, supporting our Family Support and Fundraising teams, and ensuring the smooth running of our systems and office. You'll manage internal processes, assist with events and volunteer coordination, and help maintain accurate data and communications. This is a hands-on role for someone who enjoys variety and being at the heart of a small, busy charity.
Key Responsibilities
General Administration Support
Provide day-to-day administrative support across the team with use of Excel, Microsoft 365 and Salesforce CRM system.
Support the effective use of Microsoft 365, including calendars and Teams.
Assist the CEO and trustees with internal admin, policies, and governance documentation.
Maintain accurate records using our CRM (Salesforce).
Support data input for events, fundraising, and service delivery using the CRM system including making reports as needed.
Events and Family Support
Provide logistical support for family and fundraising events. Including managing bookings and emails to event attendees.
Assist with event planning tasks such as booking venues, printing, packing, and coordination.
Help organise and distribute support items for families (e.g. gift packs, seasonal supplies), including stock checks and purchasing items.
Attend events on occasion as needed.
HR and Staff Support
Support staff recruitment, onboarding, and leavers processes.
Maintain accurate HR records and assist with compliance tasks (e.g. DBS checks, training logs).
Monitor and report on HR data (e.g. absence, holidays).
Assist with internal communications, policy updates, and handbook administration.
Volunteer Coordination
Assist with volunteer recruitment, onboarding, and communications.
Maintain volunteer records and coordinate event volunteer requirements.
Support volunteer engagement and recognition activities.
Fundraising and Communications Support
Assist with merchandise and fundraising materials orders.
Help log donations, track campaign engagement, and prepare communications.
Monitor and save images and messages from families for use on social media and campaigns.
What we're looking for
Experience in a similar administrative role, preferably in the charity or public sector.
Strong organisational skills and attention to detail.
Excellent IT skills including Excel, Microsoft 365 and CRM/databases (Salesforce experience desirable).
Excellent communication skills - written, verbal, and digital.
Ability to manage multiple priorities and meet deadlines.
A team player, willing to roll up sleeves and get stuck in. Note, the role can be quite physically active at times - taking delivery of and transporting items, setting up for events.
Access to a car and full driving licence essential.
