Helensburgh Parish Church is seeking a Church and Halls Administrator PT
Mon - Fri 9.00am - 1.00pm
The Church and Halls Administrator is responsible for ensuring the smooth running of activities in the Church and Halls, reporting to the Church and Halls Manager. This involves a mix of secretarial, reception and supervisory duties, and supporting the Minister, Parish Assistant, Director of Youth and Families, Session Clerk, Treasurer and other office bearers in administrative tasks.
Detailed responsibilities include:
Church and halls administration:
o Making bookings and liaising with internal and external users
o Invoicing paying users
o Ensuring that halls users are aware of, and comply with, policies
o Occasional set-up of halls/rooms for groups' use
o Banking payments and keeping records
Ministry team assistance and Church administration:
o Preparing material for Sunday service: Order of Service, e-bulletin and slides
o Preparing materials for additional services, internal and external
o Printing, co-ordination distribution and posting out monthly In Touch and other one-off mail shots
o Designing, producing and updating posters, leaflets, flyers etc.
o Central point for Session, and Session teams' emails.
Additional responsibilities
o Maintain presence on social media as part of team
o AV support for groups and weekday church services
o Keeping supplies topped up at coffee station
o Any other tasks required within the scope of the role
Skills:
Essential:
Excellent IT knowledge including MS Office, Word and Excel
Able to work independently as well as part of a team
Good communicator, with highly developed interpersonal skills
Organised, able to balance and prioritise demands across the different areas
Desirable:
Experience of working with software applications - Publisher, Canva and booking systems
Salary: 13,728 (FTE 24,024)
Hours: 20hrs/wk. Mon - Fri 9.00am - 1.00pm
Term: Fixed Term to July 2026 with possibility of extension
Benefits: Holidays 5.6 weeks per annum pro rata
