At HAUS of Dentistry, we do things differently! Our luxury cosmetic dental clinic is based in Prestwick, Ayrshire and is unlike any other in Scotland. More like a five star hotel than a dental clinic, we offer a full range of cosmetic and routine care as well as full smile makeovers.

Our Client Concierge Team are a key part of what makes HAUS so special. As a member of the Client Concierge team, you are the heart and soul of the clinic and often are the first person a new client will talk to on the phone and meet in person for their first visit - so if you love creating a wow and making people feel at home, this job is massively rewarding.

PURPOSE OF THE ROLE

The whole purpose of the Client Concierge team is to look after clients before they arrive, whilst they are in the clinic and then afterwards, being the point of contact for questions and queries. Much like in a luxury hotel, the Concierge is there to help with anything the client needs. To be exceptional at this role, you will need to be a people person and pride yourself in providing service excellence to every person you interact with.

Your key responsibilities are:

Account management - looking after a number of the clinical team to ensure all clients have treatments scheduled, consent documents signed and aftercare arranged. Developing relationships with new and existing clients to provide them with exceptional customer care and personalised service Managing and maintaining diary space to maximise appointment availability and ensuring no time is wasted in the clinical diary Reporting - managing all of the daily, weekly and monthly reports accurately that are required for the efficient and safe running of the clinic Meet & Greet - meeting all new clients and helping them to complete all paperwork prior to their appointments. This would also involve answering questions and talking with clients who are nervous or scared, to help them relax and feel at ease. General administration - helping with the day to day administration of the clinic Enquiries - a key part of this role is dealing with all incoming enquiries from social media, email and that are sent via the HAUS website. These are can vary from helping to rearrange appointments, make consultations for brand new smile makeover enquiries and helping clients become members of the clinic Answering all phone calls into the clinic with enthusiasm and warmth Face of the clinic - as a Client Concierge, you are a real face of the clinic! We encourage all of our Concierge team to spend time in the lobby with our clients to make them feel special and valued - so being able to speak to people with confidence and class is vitally important.

KEY ATTRIBUTES NEEDED:

High end/luxury hospitality experience or equivalent customer facing role is essential to be successful in this role. You should have experience in working closely with clients in a face to face role where accuracy and attention to detail are vital The ideal candidate will have experience in multitasking in a fast paced environment Ability to provide exceptional customer service with passion and enthusiasm Be able to demonstrate genuine warmth and care for others Attention to detail is vital due to the nature of the environment and treatments we provide High standard of cleanliness and personal image is essential The ideal candidate will be confident in working closely with other team members and also be willing to go above and beyond for both team members and clients The successful candidate should also be able to use their own initiative, have high motivation and behave positively at all times.
