Client Coordinator / Admin Lead
Reports To: Remote Operations Manager and Director
Purpose: To oversee the coordination of client communications, manage the main inbox, and provide administrative support to clinicians and leadership.
Key Responsibilities:
Own and manage the main practice inbox and task delegation system (Jane).
Respond to all new and ongoing client enquiries, ensuring timely follow-up and professional communication.
Coordinate assessments and ongoing bookings with attention to clinician suitability, availability, and client preferences.
Support clinicians by uploading documents, formatting reports, and managing follow-up tasks.
Track cancellations, follow-ups, onboarding pipelines and liaise with finance for invoicing accuracy.
Support practice-wide admin processes such as data collation, email templates, and resource tracking.
Keep a check on staff well-being
Provide short reception cover during staff breaks and cross-cover as needed.
Skills/Qualities:
Highly organised and proactive communicator.
Excellent written and verbal communication skills.
Strong administrative background, ideally in a therapy or medical setting.
Confident managing competing priorities and complex scheduling tasks.
Positive, professional, and solutions-focused.
Job Type: Full-time
Pay: 30,000.00-40,000.00 per year
