The Opportunity



During this maternity cover, you'll be the operational heartbeat of the clinic, coordinating diaries, ensuring the patient journey runs flawlessly from first contact to follow-up, supporting revenue growth, maintaining stock accuracy, and keeping clinical and administrative standards tight. You'll also play a key role in capturing and reporting KPIs so the clinic remains on track commercially and operationally while maintaining a 5-star service culture.

Key Responsibilities



1. Patient / Client Experience

Monitor and respond to patient feedback & online reviews; escalate concerns appropriately. Support informed consent processes and treatment readiness (paperwork, medical histories, aftercare packs).

2. Operational Coordination

Own the clinic diary: optimise booking flow, reduce gaps, and balance practitioner capacity with demand. Maintain immaculate front-of-house standards and support clinical room readiness. Oversee stock control (incl. consumables, skin retail, injectables tracking as applicable); flag low or variance items promptly. Ensure local implementation of company procedures, protocols, and policy updates.

3. Commercial & KPI Support

Track and help drive consultation conversions, average spend, rebooking, retail attach, and package uptake. Support promotional campaigns, seasonal offers, and membership/loyalty initiatives. Provide weekly data / performance reports to the Clinic Lead / Management.

4. People & Culture Support



Be a positive culture carrier, reinforce clinic values daily. Support 1-to-1 check-ins, rota coordination, and communication between practitioners and support teams as directed by the Clinic Lead.

5. Compliance, Quality & Safety



-Support adherence to clinical governance processes (RQIA or local regulator where applicable), infection prevention, data protection (GDPR), and safe medicines/consumables handling.?????

-Maintain accurate patient records and secure data entry in clinic systems.

-Ensure consent and treatment documentation are complete before procedures.

About You - Skills, Experience & Attributes



Essential



Proven experience in a patient-facing, customer-centric or clinic/health/beauty/hospitality coordination role in a fast-paced environment. Strong organisational and diary management skills; comfortable juggling priorities. Confident communicator, phone, email, digital platforms, and in-person. Commercial awareness: understands targets and can support sales conversion ethically. Reliable, proactive, and calm under pressure; able to work to structured processes. Flexible across evenings/weekends per rota.

Desirable



.

Experience in an aesthetic/dermatology/medical spa environment.



Prior responsibility for stock control, KPI tracking, or reporting. Experience supporting or mentoring colleagues / new starters.
