By Dr Vali is looking to add a seasoned Clinic Manager to our growing team whom shall then evolve in to Operational and Directorship roles; ambitious, passionate, experienced, highly motivated and experienced professional(s) to be part of new 'By Dr Vali' Flagship Experiential Centre at Selfridges
Duties to include:
Knowledge
Knowledge of skin lab, face lab, hair lab, body lab, wellness lab and adaptive skincare
Knowledge and experience of dermatology, aesthetic medicine, medical wellness pathology, clinical presentation and management (training can be provided) Have basic knowledge of services/treatments/products offered at the Experiential Centre in order to offer correct information and support on treatments and services when communicating with clients (training can be provided) Trained to support clients through a 360 degree approach 'inside out' aesthetic medicine and health optimisation/medical wellness journey (training can be provided)

Client Journey Management
Ensure the team manages and executes all aspects of the Client Journey optimally maintaining exceptional standards of care and client service and upholding the Company's professional image at all times
Ensure the team are compliant with the operational processes of the Client Journey and audit these aspects regularly
Optimizing all aspects of the client journey to drive growth and revenue (pre-clinic, in clinics, sales service delivery, aftercare, stakeholder engagement etc)
Deliver a world class customer journey to all clients
Ensure efficient customer communications and customer service delivery across teams, addressing issues promptly as they arise
Excellence in communication and handling client complaints promptly and ensuring the most convenient resolution and client satisfaction
Ensure that all treatments are performed to an exceptionally high standard across the business and act where gaps are seen
Ensure the team undertake documentation of all confidential patient information, medical record keeping, communication, imaging, consent etc
Work with all team members to provide a professional and positive experience for all clients and deliver a world class customer journey to all clients
Team Management
Working in collaboration with the Medical Directors and co-ordinating the healthcare professional team
Ensure motivation and performance across team through timely and efficient onboarding, training and development, regular performance management and handling of disciplinaries/grievances
Staff related HR/admin: supplying and saving signed contracts, new starter paperwork, efficient Rota, sick day and holiday management, ensuring optimum staff cover and compliance with administration and management protocols
Recruitment of effective team members
Co-ordinate activity across the Experiential Centre, liaising will all disciplines to ensure smooth running of procedures
Solution focussed and ability to deal with a range of personalities
Efficient team motivation and management across employee journey
Displaying proficient leadership qualities within the team, ensuring accountability and transparency
Sales & Marketing
Able to develop ingenious ideas and concepts for client attraction and interaction, with an energetic and positive attitude
Achieve treatment and retail sales targets at the Experiential Center
Liaise with marketing team to develop and implement an effective marketing and promotional strategy
Actively promote the Experiential Center to other departments in Selfridges forming a successful partnership with Selfridges' operations and department heads
Ensure the team works as effectively as possible, prioritising high potential leads, delivering rapid response to client enquiries and maximising revenue opportunity from each prospect
Managing sales performance; running regular reports, team management and coaching to meet sales targets through up-sales and cross sales
Independent and motivated in managing sales performance; running regular reports, to meet sales targets through up-sales and cross sales, working closely with management team to achieve business targets
Support external brand events as needed
Operations
Full day to day operational management of a busy clinic to ensure smooth running of the business
Management of HR including recruitment, appraisals and training of managerial and operational employees
Creating systems, processes and SOPs to drive business performance and ensuring these are adhered to at all times
Develop and implement training and development programmes for the Center
Manage scheduling of doctors, nurses, aestheticians and allied health professionals
Manage payroll including creation and monitoring of monthly rota
Review and sign off commission/staff hours to meet payroll deadline
Implement CQC procedures
Liaise with Selfridges department managers on operational issues and retailer issues
Compliance: Maintaining policies and record keeping, arranging health & safety/fire audits, risk assessments for building and staff, infection control, staff files, training, patient notes in accordance with CQC/Health & Safety regulations
Ensuring all clinic/operational related issues are resolved quickly with highest priority (IT, building, customer, staff, machinery etc.)
Working with the team to ensure operational aspects are completed e.g. stock taking, client journey audit, clientelling etc
Maintaining the excellence of the BDV 360 Experiential Centre in all aspects of appearance, experience, team and clients
Reporting and Financials
Manage daily/weekly/monthly/annual reporting of services and product performance
Highlight overperforming and underperforming services, SKUs and categories, bestseller performance, and mix of business with action plans where required.
Sign-off reconciliation of End of Day (EOD) sales
Sign off reconciliation of EOD to Selfridges Z read.
Managing relationships with external agencies and suppliers, ensuring best rates
Manage and report regularly on KPI's in order to meet business goals and targets
Budget control
Meeting revenue and P&L targets
Liaise with Finance team re: weekly and monthly finance meetings
Audit reports eg CJA, Stock (weekly and monthly and variability report), Breaches, SEA's/Complaints etc
This job will report in to the Medical Director, Board and Management Team
Skills and Qualifications
Experienced in a service and product menu that covers medical wellness/biohacking and cosmetic dermatology
Considerable management experience in a medical clinic/wellness place with a history of achieving budgets
Experience in operations and a strong background in driving sales
Strong management skills with experience of managing a large team with a positive, solution focused mindset
Proven track record of delivering on KPI's - structure, organisational skills and time management is key
Exceptional communication skills in building strong connection with different stakeholders
Strong analytic skills in understanding the business and providing business insight
Excellence in communication, organisational skills, time-management paired with proficiency, autonomy, presentability, self-motivation and initiative in work ethic
Detail oriented, with excellent follow through skills
Qualifications: Bsc, MBBS, MBA, NVQ Level 3/4 or ITEC level 3/4, Nursing degree, OR 10+ years in leadership
Experience and excellence working with CQC
Strong computer skills, proficient use of Microsoft Office (including Excel, MS Project, MS PowerPoint etc
Experience in luxury clinics, VIP clientele
