Job Description

The Clinic Manager will be responsible for the day-to-day coordination of clinic operations, ensuring an efficient, professional, and high-standard patient experience. The role requires strong organisational skills, effective leadership of clinical assistants, and proactive oversight of clinic logistics, rotas, and stock management.

Key Responsibilities

1. Patient & Customer Management

Act as the primary point of contact for all patient queries, delivering timely, accurate, and professional responses. Oversee the full patient journey, including bookings, follow-ups, rescheduling, and complaint handling where required. Ensure patient communications (phone, WhatsApp, email, online bookings) are handled promptly and in line with clinic standards.
2. Team Coordination & Supervision

Oversee and support clinical assistants in their daily duties, ensuring adherence to protocols, treatment-room readiness, and patient-care standards. Conduct regular check-ins with assistants to ensure smooth clinic flow and address any issues. Coordinate with doctors regarding schedules, treatment days, and required preparations. Support onboarding and training of new assistants or administrative staff.
3. Rota & Schedule Management

Prepare and manage rotas for clinical assistants and doctors, ensuring proper coverage for all clinic days. Track annual leave, shift swaps, and schedule changes, ensuring minimal disruption to operations. Adjust rotas promptly in response to cancellations, emergencies, or operational changes.
4. Inventory & Supplies Management

Maintain accurate records of all clinical stock, including PRP tubes, polynucleotides, consumables, skincare, and equipment supplies. Ensure inventory levels are maintained and replenished in advance of clinic days. Coordinate with suppliers to place orders, monitor deliveries, and resolve supply issues. Keep equipment checklists and maintenance logs updated.
5. Operational Oversight

Ensure treatment rooms, equipment, and consumables are prepared and compliant with clinic standards at the start of each day. Oversee cleanliness, sterilisation, and adherence to health and safety protocols. Assist with daily opening and closing procedures. Identify operational gaps and recommend improvements to enhance efficiency.
6. Reporting & Administration

Prepare weekly operational reports covering appointments, staffing, stock usage, and operational issues. Maintain accurate patient records, inventory logs, and rota documentation. Support management in implementing new systems, processes, and workflow improvements.
Skills & Requirements

Strong organisational and multitasking abilities. Excellent communication and customer-service skills. Previous experience in a clinic, healthcare, aesthetics, or hospitality setting is preferred. Ability to lead a team with professionalism and clarity. Competence in Excel/Sheets and digital booking systems. Proactive mindset with strong attention to detail.
Job Type: Part-time

Pay: 25,000.00-33,000.00 per year
