Job Description

An exciting opportunity has arisen for a Clinic Co-Ordinator to join our team and work within a well known and award winning aesthetic clinic. The role will be exciting and varied and will suit someone who has worked as an PA, receptionist or front of house previously.

This role is central to the effective administration of the clinic and you are responsible for ensuring that our practitioners are able to work efficiently and focus entirely on the needs of their patients.

This is a busy and fast paced job and required a candidate with strong organisational skills and someone that can work effectively under pressure and have a solution driven attitude.

This job will be based full time in our London Clinic in Belsize Park, NW3 2BD.

Candidate:

We are looking for a candidate that can work under pressure, is exceptionally organised and has a genuine passion for what you do with bags of personality combined with the ability to engage with everyone around you and build long-term rapport with both the clients and your colleagues. It is important to us that you are friendly, approachable, and confident and able to work within a team but also alone.

You must have excellent communication skills and as the first point of contact for most patients.

Hours: 11am to 7:30pm 5 days per week. Must be able to work Saturdays and Sundays (Weekends are rota'd between all staff), you will not work every weekend but will be required to work some.

Key Responsibilities:

Client Experience & Front Desk

- Welcome clients, manage consent forms and pre-treatment prep, and ensure a smooth, professional journey throughout their visit.

Diary & Scheduling Management

- Coordinate practitioner diaries, book appointments and training courses, and proactively resolve scheduling issues.

Administration & Financial Support

- Process payments, invoices, expenses, and supplier orders, while keeping accurate records.

Operational Support

- Oversee reception duties, stock control, staff shifts, inbox/social media/phone enquiries, and general office management.

Director & Team Assistance

- Provide administrative support including travel arrangements, personal diary management, event coordination, and ad-hoc tasks.

Pay: 24,000.00-26,000.00 per year
