Happy in a varied role including: opening the clinic and organising the day, answering the phone, to being a chaperone with a Doctor whilst they are carrying out treatments, carrying out regular audits, taking before-and-after photos to stock ordering, rebooking patients, and maintaining a clean and calm treatment space?

My name is Dr Ian Strawford and I am the owner of Skin Excellence Clinics in Wells and Plymouth.

About the Role



This is a

full-time, in-person position

with varied responsibilities. You'll welcome patients into the clinic, assist with check-in, ensure digital forms are completed, take high-quality before-and-after photos, and manage rebooking and payment at checkout. You'll also help keep the clinic clean and stocked, carry out regular audits, occasionally assist our clinical team as a chaperone (training provided), and cover the clinic phone when our coordinator is unavailable.

Dental or GP practice, a Hair or Beauty salon

sales representative with Aesthetics industry

opening in the morning and getting everything and everyone organised, juggling customer facing and administrative tasks and being highly organised.

Key Responsibilities



Patient Support & Front-of-House



Greet patients and check them in - you must love people Ensure digital consultation and consent forms are completed prior to treatment Take high-quality before-and-after photos (training provided) Rebook appointments and process payments Ensure all patient medical forms are completed in advance of treatment Use our systems to contact patients as needed (e.g., reminders or confirmations) Cover the clinic phone when the Clinic Coordinator is unavailable
Flexibility - it's a "Swiss Army Knife" type role

Ensuring the whole clinic is ready for a busy day: opening up, preparing clinic rooms, daily checks with stock, oxygen and medical kits, carrying out audits and legionella checks

Use our systems to check the appointments for the day and familiarise themselves with the patients, how the day will run, what treatments will be carried out and communicate any highlighted notes to our clinical team that are specific to the patient

Patient aftercare - contacting our patients post treatment to ensure all is well

Call handling and appointment bookings is not a huge part of this role, it is only needed when Carly, our central call handler goes to lunch

Keep the treatment and reception areas clean and presentable throughout the day

Closing the clinic and ensuring all end of day tasks are completed

Treatment Support & Organisation



Act as a chaperone when needed - full training given You may be required to be an 'extra pair of hands' with the medical practitioner occasionally - full training given Operate the 3D Imaging device as part of the consultation process - full training given

Stock & Admin



Check stock levels and manage ordering of skincare and clinic supplies Provide general administrative support where needed to assist clinic operations
Carrying out audits on a monthly basis - tally up drugs on drug register / keeping an eye on sharps bins, liaising with medical waste collection

Throughout day - register out the drugs that our Medical Practitioners have used during the day and logging them on the patient records

Ad-hoc admin tasks as and when needed

Important Notes:



Clinic hours

will definitely vary, and flexibility is very much required.



Any changes to working hours will be communicated in advance.

Example of working hours per week would be

:

Monday, Tuesday, Thursdays and Fridays: 9.30 start - finish between 5.30-6pm

Wednesdays - the clinic is closed

Saturdays: tbc

Rate

:

15.50 per hour


(This is well above the UK National Living Wage of 11.44/hour for those aged 21+, as of April 2025)

Probation

: 6-month probationary period

Training Provided

: Full training in all clinic systems, devices, and procedures
