Hybrid working from the London office (Mondays, Wednesdays and Fridays) or Remote within England with the ability to travel to the London office once a month as a minimum.

About Paloma





Paloma's mission is to make children's autism and ADHD assessments and care available on the NHS within 4 weeks of GP referral. We believe the NHS can offer quick access to these services, and Paloma is achieving this by redesigning care pathways, building new software & AI tools, and investing in the learning & development of clinicians.



Mark and Darshak founded Paloma as they were frustrated that families are waiting 2-10 years for NHS children's autism and ADHD assessments. The Opportunity





We are seeking a highly organised and process-driven person who wants to make a meaningful difference to families waiting for an NHS children's autism or ADHD assessment. Your role is to ensure:


Families receive their appointments with our clinical team at a time that is convenient for them. We use all available clinician capacity at Paloma, filling any arising appointment slots to minimise wait times for families.

Working in a collaborative and fast-paced environment, as Paloma is growing quickly

This role is part of a fast-growing Operations Team, and with success, this person can progress to a Senior Bookings Coordinator role.


Responsibilities:




Manage the end-to-end patient booking process, ensuring appointments are scheduled accurately and efficiently within our target timelines. You will do this through our bookings dashboard, prioritising tasks to fill any empty appointment slots immediately and maximise patient access. Monitor and report on key data, including: availability across different assessor teams and skill sets, and in-person venue locations; demand by NHS region; and reschedule rates and themes. Ensure the DNA, Reschedule & Cancellation policy is followed consistently. This includes rescheduling appointments where appropriate, and monitoring cancellations and non-attendance. Respond to scheduling-related queries from patients and GPs via email and phone with a helpful, problem-solving attitude. Support the wider Clinical Scheduling and Capacity Team with tasks as required, e.g., to cover leave and ensure service continuity.



Qualifications and experience:





Essential:


At least 1 year of experience in a bookings or scheduling role within a healthcare environment. High attention to detail and accuracy--you are the person who spots the typo or the scheduling clash that others miss. Comfortable diving into the details of any problem, no question is too small. Skilled in using software tools, in particular Google Sheets, and comfortable learning new software platforms where needed (e.g. patient record and booking systems). Excellent time management skills with the ability to prioritise workload and multitask as things change. Strong written and verbal communication skills, with fluency in English. A friendly and approachable nature, capable of working autonomously but knowing when to ask for support. Flexible and adaptable, comfortable working in a scale-up environment where processes improve and change rapidly.




Desirable:


Knowledge of staying compliant with GDPR, patient confidentiality, and data protection regulations. Experience assisting with reporting or data analysis. Previous experience working in a remote or hybrid team.
