Job Description

STANMORE MEDICAL GROUP is a forward thinking, dynamic, technologically driven, expanding and modern General Practice. We are currently looking for a full time Clinical Data Administrator to join our friendly and proactive team. You will mainly be based at our St Nicholas Health Centre but with the ability to work in all locations of the Practice.



The smooth working of the Practice depends on good and efficient co-operation between Doctors, Practice Manager, Receptionists, Secretaries, Clerical Staff and Nurses. We aim to have a good relationship between all parties concerned and also with the patients.

Duties:

Dealing with all incoming daily mail

a) Opening, date stamping, distributing to relevant department.

b) Scanning documents onto the clinical system.

c) Allocating the documents to the patient's clinical notes.

d) Link all disease classifications where required.

e) Analyse and enter clinically relevant data 'Read Codes' to the clinical notes.

f) Deal with all 'Out of Hours,' A&E and Discharge Summaries electronic received into the surgery and posting to patient notes.

g) Process letter to relevant clinician.

Enhanced services/QOF

a) To learn a clinical area where you will monitor and liaise with clinicians to enhance the service to help us provide a better patient experience.

Paper Note Management.

a) Receive new patient medical records ensuring envelopes are robust. Renew where necessary.

b) Ensuring all information is correctly transferred onto clinical system including disease classifications.

c) Maintain and retrieve files for clinicians other department when required.

d) Photocopy all information required on request.

e) Process Links (registrations/deductions)

f) Pull deducted patient notes and prepare for sending

Make generalised entries on all incoming patients' computerised notes as specified.

Report to Admin Supervisor

Have working knowledge of Appointments.

Have working knowledge of Pathology Electronic Links.

Have overall view of work carried out by Senior Data Input Clerk.

Carry out holiday and sickness cover when required.

Entering all doctors and nurses Health Promotion information and any other information that they ask for, as well as being able to extract relevant information.

Entering Patients Information Sheets.

Any other duties that the Managers or doctors deem necessary.

Training

a) Learning about the general organisation of the Practice and understanding how it is run. During your Induction you will be expected to familiarise yourself with the Practice Training Manual and answer questions on it.

b) Understanding and being able to use the in-house computer system after the appropriate training.

c) Be willing to attend in-house training sessions.

d) Be willing to attend Staff Meetings which may be held outside your working hours.
