Commercial Contract Administrator

HOURS:

Mondays - Fridays, 8.00am - 5.00pm

BSW Heating Limited is a domestic and commercial heating servicing, maintenance, and installation company. We provide a professional, high-quality service across the Southeast. Our teams manage domestic and commercial installation projects, as well as repair and maintenance contracts for a range of clients including housing associations, local authorities, education providers and hospitals.

OVERALL PURPOSE:



To act as liaison between BSW and our Clients, to manage all active jobs that relate to the contract(s) under their control, ensuring that repairs are completed within the timelines dictated by each client's Service Level Agreement (SLA).

PERSON SPECIFICATION:



Previous experience of using Diary systems to raise and monitor jobs would be beneficial, and all-round knowledge of Microsoft software. You will have good communication skills, be highly self-motivated, and able to demonstrate excellent customer service. The role requires a positive attitude and an ability to thrive in a small, fast-paced team.

JOB RESPONSIBILITIES:



To liaise with residents & scheme managers to book in Commercial & HIU breakdowns and repairs. First point of contact with Clients and Scheme managers. Confirm diaries through daily communication with engineers by highlighting important jobs and diary specifics. Monitor all work in progress and moving incomplete work through to completion. Ensuring all required parts are ordered, booked and logged accurately. Submit quotes to clients and obtain order numbers for any chargeable works. To reallocate any cancelled work in a timely manner following engineer sickness or absence. To obtain further information from engineers regarding parts and further works required. To ensure cover for other Commercial CAs as and when required. Liaise with M&E Team and assist, as necessary. To allocate Escalated P1 jobs from the Planners Dashboard. To dispatch engineers to Commercial sites within SLAs. Liaise with subcontractors to arrange specialist works. To be responsible for ad-hoc installation projects, with occasional RLO duties.

KEY ATTRIBUTES:



Excellent written and verbal communication. Positive attitude to work. Ability to handle workload in a pressurised environment. Highly self-motivated and enthusiastic. Excellent customer services and communication skills. Previous or relevant experience within the gas or commercial industry.
