Job summary




This is an exciting opportunity to work at the heart of Welsh democracy within the Senedd's Business Directorate. You will be working directly with Senedd Members, senior officials, stakeholders and the public during an important time for Welsh politics.



As the Committee Support Officer to the Culture, Communications, Welsh Language, Sport, and International Relations Committee you will provide clerking support to the committee, ensuring that committee meetings are organised, and run smoothly. As a member of the Senedd Business Directorate, you will be required to ensure that Senedd business such as support to Senedd Committees and Plenary, the Table Office, and the Independent Remuneration Board is managed smoothly and effectively and that Members of the Senedd and staff receive a high standard of service. You may also work with a team delivering strategic projects or developing procedural resources and parliamentary skills programmes.


The posts involve regular contact with Members of the Senedd and their support staff, staff of the Welsh Government, senior staff of the Welsh Parliament and a range of external stakeholders and committee witnesses.


We are also looking to create a reserve list for a number of team support roles within the Senedd Business Directorate.


These posts are part of a pool of similar Team Support roles in the Senedd Business Directorate, which include support for Plenary, the Table Office, the Independent Remuneration Board, strategic project delivery and the development of procedural resources and parliamentary skills. Successful candidates may be required to move to such similar roles within the Senedd Business Directorate, according to business needs

Job description




Key tasks:

Depending on the specific role you are allocated the tasks you will be required to undertake may include:

? Meeting and greeting external witnesses and Welsh Government Ministers and their officials, and responding to any queries that they may have about the meeting (such as the format of the meeting and how to use translation equipment) both at physical and virtual meetings;

? Support virtual and hybrid Committee meetings and internal meetings using virtual platforms (Zoom and Teams);

? Working with the clerking team and other departments in the Senedd (such as Translation, ICT and Estates and Facilities Management) in making the domestic and technical arrangements for committee (and other) meetings and possible external visits;

? General administrative tasks in relation to supporting Senedd Business

? Issuing correspondence and managing a correspondence log;

? Monitoring and managing committee mailboxes, responding to or forwarding on e-mails as appropriate;

? Supporting social media content;

? Updating webpages and intranet pages;

? Responding to queries via telephone and e-mail;

? Organising travel and meeting arrangements for Members of the Senedd and officials;

? Distribution and collation of invitations/responses to consultation exercises;

? Using the Senedd Business management system (SBMS) to publish documents on the Senedd webpages and to keep relevant webpages up to date;

? Assisting the team with the development of papers and supporting team meetings which take place to manage the work programme of the committee;

? Supporting the administration function of the Table Office including Cross-Party Groups and Written and Oral Questions;

? Providing administrative support to the Independent Remuneration Board.

? Providing administrative support for the Senedd's procedures and parliamentary skills programme and resources.

The will develop with time and link with a Performance Development Review Plan.###

Person specification




Job Specific criteria:



1. Organisational skills and agility - Excellent organisational skills with accuracy and attention to detail and ability to manage workload in a timely manner.



2. Communication skills - Excellent oral, written and online communication skills with the ability to work with a diverse range of people at all levels to provide a professional, friendly service, (these may include members of the public, Members of the Senedd and senior staff etc).



3. ICT skills - Experience of using Microsoft Office packages (e,g Word, Outlook, Excel, Teams and OneNote) in a business or educational setting to a competent standard and an aptitude for learning to use new software packages.


Desirable criteria:

The following qualities are not essential for this particular post but have been deemed as desirable. These will only be taken into account in the event of two (or more) candidates acquiring the same score at either application or interview stage.



1. Social media skills - Experience of using social media in a business environment is desirable, though not essential. Full training will be offered to the successful candidate.


Welsh language criteria:

The language skills for this post have been assessed as follows:


Listening: Understand discussions and instructions even on unfamiliar topics. (Level 4)

Speaking: Able to speak and engage in discussion at length, confidently and without prompting. (Level 4)

Reading: Understand correspondence, newspaper articles and reports aimed at fluent Welsh speakers. (Level 4)

Writing: Able to write different types of texts in styles that are appropriate to the reader in mind. (Level 4)
