Responsibilities

Serve as the initial contact for enquiries, both internal and external, that arrive into the Communications and Engagement Team's email inbox. Ensure requests are clearly understood, logged on the team's work planner, allocated, and resolved within corporate standards and deadlines. Provide advice and guidance on council policy and procedure as required. Utilize the Financial Management System to raise and receipt purchase orders for goods and services, check and code invoices for payment, and make procurement card purchases, ensuring timely and accurate monthly reconciliation in line with corporate financial guidelines. Monitor, log, share, and analyze media coverage. Maintain and update records, spreadsheets, and databases with a high degree of accuracy, extracting data for management reports, including retention and archiving of existing files. Monitor the council's corporate social media accounts, working with the Communications and Engagement Team and colleagues across the council to engage with feedback and respond to queries. Support the council's internal communications by publishing news for colleagues on the intranet and assisting with other internal communications activities, such as delivering all staff Town Halls, in-person staff engagement activities, and creating leadership vlogs. Collaborate with services to plan, create, edit, and publish written and multimedia content for multiple existing and emerging channels under the guidance of Communications Officers. This includes websites, e-newsletters, social media, residents' magazines, out-of-home campaigns, and local media. Provide reports utilizing measurement and analysis of internal and external communications and engagement to guide improvements to outputs and inform strategic decision-making. Support the production of designed assets in line with brand guidelines using in-house tools and liaising with designers. Assist colleagues with logistics and attendance at stakeholder events as required. Perform any other duties as required by your line manager from time to time in accordance with the grading of the post.
Person Specification

Experience in writing for different audiences with attention to detail to ensure high levels of accuracy. Ability to create engaging content for different channels using a variety of media, including photography. Experience working in a communications, marketing, or PR administration role using a wide range of internal and external communications channels. Strong administrative support background with experience in office procedures contributing to the design, development, and improvement of specified administrative processes. Organized and methodical, able to manage and prioritize own workload. Proficiency in communications planning techniques. Excellent verbal and written communication skills. Experience in social media channels monitoring and use for corporate purposes. Awareness of data protection legislation (UK GDPR) and WCAG (web content accessibility guidelines). Skills in listening and responding to stakeholders and media management techniques. Deadline and customer-focused with a can-do approach. Experience in analyzing, measuring, and evaluating communications. Strong attention to detail and ability to create impactful visual communications. Team working skills and ability to thrive in a fast-paced communications environment. Willingness to work outside of core hours to support planned engagement activities. Skilled in using a range of digital communications products.
