Community Action Malvern and District is a charity working in the community to improve the well-being of local people. As well as providing a range of services for residents, Community Action has established Malvern Hills Volunteering and also works with networks of local statutory and voluntary groups to share their specialist knowledge.
The Role
As our services grow, we are seeking a supervisor to lead the team responsible for the daily running of the Community Transport Services and all functions therein, to ensure that all services are able to run smoothly. This includes the Car Service, the use of our own wheelchair accessible vehicles and bus services and the Out and About service. Community Transport tasks are many and varied and a large degree of flexibility and working at pace/problem solving is to be expected.
Responsibilities
Leading the office based Community Transport staff team including supporting the Business Manager with the recruitment and induction of new staff and the management and development of all team members.
Lead on the induction and development of all volunteer drivers and companions used within the Community Transport services. Working with the Volunteer Manager and Business Manager to ensure all recruitment, induction and retention processes are up to date and relevant.
Manage the volunteer receptionists, ensuring they have up to date training and knowledge of the Community Transport Services.
Work with the Business Manager to ensure compliance of CA vehicles to Section 19 and Section 22 operating licenses and all general vehicle regulations. Support the Business Manager with the arrangement of all repair and maintenance requirements.
Ensure that our vehicle scheduling software CATSS is used effectively and efficiently, enabling us to collate meaningful data for business use and development.
Quality checking CAMD use of the CATSS system and working with the developers to use the system to its full potential.
Ensure all data needed for contract management to partners such as the Worcestershire Community Transport Partnership are produced in an effective and efficient way and delivered within the timeframe required.
Support the effective delivery of the Motability objectives and all the requirements needed to fulfil this contract.
Oversee the running of the car service including effective job share arrangements and cover for job share.
Oversee use of the Wheelchair Accessible Vehicles (WAV) services including their wider use by volunteer drivers willing to drive them as an alternative to using their own transport.
Oversee the running of the Minibus service including effective job share arrangements and cover for job share.
Oversee the use of Community Action minibuses for 'Out and About' and other third-party charity arrangements (e.g. Age UK ), ensuring the collation of information needed for grant funders.
KNOWLEDGE AND EXPERIENCE
Essential:
Experience of leading and supporting staff and volunteers.
Experience of working with databases to manage information efficiently.

Experience of working or volunteering in community-based organisation, with a passion for delivering quality services to make a difference.
Excellent people skills to engage with the people we support, volunteers, staff and others across the community in a sensitive manner.

Excellent organisational, time-management and accuracy skills, and the ability to work with a minimum of supervision.

Confident and competent in the use of Microsoft Office 365, and other technology including on-line communications and databases in compliance with GDPR.
Willingness to undertake any other duties to support the operation of the charity as and when required.
Employment conditions
A DBS Check is required for all CAMD staff.
Our offices are open from 9.30-3.30 Monday to Thursday and 9.30-12.30 Fridays. The post holder is expected to work five days a week, predominantly covering office hours, however exact working hours are negotiable.
