The Role
We are seeking a highly organised and proactive
Company Secretariat
to support our Executive Director and leadership team. This is a diverse part-time role combining HR coordination, financial administration, executive assistance, and internal event management. The ideal candidate will be confident working independently and managing multiple responsibilities in a remote-first environment.
Key Responsibilities
Recruitment Support:
Coordinate the end-to-end recruitment process, from job posting to candidate communication and onboarding
Maintain recruitment records and liaise with team leads and candidates to schedule interviews and follow-ups
HR Administration:
Maintain accurate employee records using company HR software
Draft employment contracts and assist with performance review scheduling and processes
Ensure compliance with HR policies and procedures
Bookkeeping & Financial Admin:
Assist with invoice management, expense tracking, and basic bookkeeping tasks
Liaise with our external accountant and payroll provider
Executive Support:
Provide high-level support to the Executive Director, including meeting preparation, and appointment & travel coordination
Draft correspondence and maintain confidential records
Support the planning of internal meetings and company documentation
Internal Event Management:
Organise and coordinate company staff gatherings, retreats, and virtual events
Manage logistics, budgets, travel, and communications for staff events
Work with senior leaders to ensure events align with company values and objectives
Requirements
Proven experience in a similar Company Secretariat and office management roles
Strong administrative, organisational, and multitasking skills
Familiarity with HR processes and financial record keeping
Proficiency with Microsoft 365 and remote collaboration tools (e.g., Teams, SharePoint, Zoom)
Discretion, reliability, and a proactive attitude
Desirable
Experience working in a compliance-focused business
Some knowledge of UK employment law and HR best practice or experience with HR tools such as Employment Hero
Bookkeeping qualification or experience with tools like Xero
Event planning experience, particularly for remote teams
