Role Overview
We are seeking an organised, proactive, and professional Company Secretary / Office Administrator to support the Managing Director and senior management team.
This role involves coordinating tenders, managing company administration, and acting as a key point of contact for clients, suppliers, and internal staff.The ideal candidate will be confident in managing multiple priorities, have strong communication skills, and thrive in a fast-paced construction environment.
Key Responsibilities
Prepare and submit tenders, quotations, and supporting documentation
.o Manage the company diary, scheduling meetings, site visits, and staff appointments
.o Handle incoming client enquiries, responding promptly and professionally
.o Book surveys and inspections for clients and internal teams
.o Support the Managing Director with administrative and secretarial duties
.o Maintain accurate filing systems, digital records, and compliance documentation
.o Coordinate correspondence, emails, and phone calls for the leadership team
.o Prepare and issue letters, forms, and standard company documentation
.o Manage stationery and office supplies; liaise with suppliers for stock and deliveries
.o Assist with maintaining company certifications and renewals (CHAS, Constructionline, etc.)
.o Support HR administration (staff files, training records, absence tracking, etc.)
Skills & Experience Required
Proven experience in a senior administrative or secretarial role (construction or professional services preferred)
.o Excellent written and verbal communication skills
.o Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Strong organisational skills and attention to detail
.o Ability to manage multiple priorities and deadlines.
Discretion and professionalism when handling confidential information.
Confident liaising with clients, suppliers, and staff at all levels.
Desirable
Experience preparing tenders or quotations within a construction setting
