Working as a Compliance Administrator, you will report into the Head of Audit, Risk and Compliance working within the Audit, Risk and Compliance (ARC) Team. This is a busy and varied key role which will provide administration and management reporting support with a particular emphasis on supporting Internal Audit and Compliance Leads/Manager with the coordination of audits, audit programme delivery. In addition you will maintain policy and procedure documentation. You will also manage the Head of Audit, Risk and Compliance's diary and email inbox with absolute confidentiality and professionalism, ensuring effective scheduling, prioritisation and communication management.
What you will be doing
Focal point for audit administration and liaison with relevant stakeholders. This will include ownership of function's data and reports through development of systems.
Upkeep of the Group's policy library.
Liaise with client/customer representatives to foster a good relationship and act as focal point for certification body contract administration.
Manage Audit, Risk & Compliance team's calendar and meetings, attending internal and external business meetings as required, always representing the company in a professional manner (note taking/actions).
Provide confidential diary and email management support to the Head of Audit, Risk and Compliance, including managing meeting requests, prioritising correspondence, and drafting or coordinating responses where appropriate.
Monitor changes to policies, intranet and Audit and Risk process templates aligned to the IMS, and update documents accordingly.
Support development of functional reporting of programmes, non-compliance reports and standardised audit reports.
Upkeep of BAI Hub page, SharePoint site, Teams Channel, and functional systems and tools used.
Track audit findings, NCRs, and follow-up actions through to closure.
Support managing and scheduling and logistics for internal and external audits.
Support internal evidence gathering and documentation management for audits.
Supporting the forward look calendar for the ARC team ensuring that, but not limited to ARC monthly team meetings, 121's, key meetings are prioritised and diarised.
What we need from you
Strong academic record which has been translated into success in the working environment.
Established experience in relevant roles.
Has worked as an analyst/administrator in a large organisation.
Excellent knowledge of MS Office suite, SharePoint, PowerPoint, and online portals.
Experience of ownership of data and able to manipulate and report out to board level standards.
Good time management skills whilst being capable of taking ownership of workload and tasks and communicating outcomes.
Ability to operate collaboratively as a Compliance Administrator, promoting a positive culture, but independent enough to call out issues or standards with a view to driving improvement.
Strong communication skills both in writing and verbally.
Integrity and confidentiality is a given; must be capable of handling sensitive correspondence and information discreetly and professionally.
