Role Overview



The Compliance and Document Officer is responsible for ensuring Hewitson Plant Hire Limited operates in full compliance with all legal, regulatory, and industry standards. The role involves maintaining accurate compliance records, managing company documentation, and

assisting in gaining and maintaining key accreditations

, including

FORS, ISO, CHAS, Constructionline, and Achilles

.

This role also supports the Health & Safety function by

assisting with keeping Risk Assessments and Method Statements (RAMS) up to date

, ensuring all documentation reflects current company practices and legislation.

Key Responsibilities



Compliance Management



Ensure company compliance with statutory and regulatory requirements, including DVSA, HSE, LOLER, PUWER, and environmental legislation. Maintain accurate and up-to-date records for vehicles, drivers, plant equipment, and operator licences. Monitor compliance performance and highlight any risks, trends, or improvement opportunities to management. Assist in developing, implementing, and reviewing company policies, procedures, and safety management systems. Support and prepare for external audits and inspections, ensuring all required documentation and evidence are in order. Promote a culture of compliance, safety, and continuous improvement throughout the business.

Accreditation Support



Must assist in gaining and maintaining company accreditations

, including but not limited to:

FORS (Fleet Operator Recognition Scheme)

ISO 9001, ISO 45001, ISO 14001

CHAS (Contractors Health & Safety Assessment Scheme)

Constructionline

Achilles

Coordinate documentation, evidence gathering, and submissions for accreditation applications and renewals. Liaise with internal teams to ensure systems and procedures meet accreditation standards. Maintain audit-ready documentation and evidence folders. Keep up to date with accreditation requirements and communicate changes to management and relevant staff. Support ongoing improvement initiatives to strengthen compliance and accreditation performance.

Document Control



Manage and control all company documents to ensure accuracy, version control, and compliance with regulatory and accreditation standards. Maintain document registers and ensure all policies, certificates, inspection reports, and training records are up to date. Track renewal dates for key documents such as insurance, training, permits, and certifications. Maintain a well-structured digital filing system to ensure all compliance information is easily accessible. Regularly review and update documentation to reflect operational and legislative changes.

Health & Safety Documentation



Assist with keeping all Risk Assessments and Method Statements (RAMS) up to date

, ensuring they accurately reflect site activities, equipment, and current legislation. Support the review, editing, and issue of RAMS to staff, drivers, and operators as required. Maintain version control for all RAMS and safety-related documents. Liaise with management and operational teams to ensure staff are aware of and working to the latest approved versions.

Operational Support



Liaise with drivers, operators, and workshop staff to ensure compliance documentation is complete and current. Support driver and staff inductions by ensuring relevant compliance and safety documentation is issued and recorded. Record and track incidents, infringements, and non-conformances, assisting with corrective and preventive actions. Produce accurate compliance and performance reports for management review. Provide administrative support for audits, training coordination, and document submissions.

Skills and Experience



Essential:



Proven experience in compliance administration or document control, ideally within the plant hire, construction, or transport sectors. Excellent organisational and administrative skills with meticulous attention to detail. Strong written and verbal communication skills. Proficient in Microsoft Office and document management systems. Ability to manage confidential information and meet deadlines.

Desirable:



Experience supporting or achieving accreditations such as FORS, ISO, CHAS, Constructionline, or Achilles. Knowledge of transport compliance, DVSA standards, and operator licence requirements. Experience with compliance or fleet management software. NEBOSH, IOSH, or similar health & safety qualification (or willingness to obtain).
