Compliance Officer & Personal Assistant to Directors
Role Purpose
We are seeking a highly organised, detail-oriented, and commercially minded individual to join our team as a
Compliance Officer & Personal Assistant (PA)
. This hybrid role combines responsibility for overseeing the company's quality, environmental, and regulatory compliance, alongside providing high-level administrative and commercial support to the Directors.
Key Responsibilities
1. Compliance Responsibilities
Quality Management (ISO 9001)
Maintain and improve the Quality Management System (QMS)
Ensure continued compliance with ISO 9001 certification
Conduct internal quality audits and support external audits
Investigate non-conformities and implement corrective/preventive actions (CAPAs)
Review and update company policies and procedures
Environmental Management (ISO 14001)
Maintain the Environmental Management System (EMS)
Monitor environmental performance (e.g. waste, energy use) and drive sustainability improvements
Ensure ISO 14001 compliance and report on science-based targets (SBTs)
Coordinate continuous improvement initiatives in sustainability
Regulatory & Legal Compliance
Ensure the company is compliant with relevant food industry regulations and legislation
Monitor legal/regulatory updates and update internal processes accordingly
Oversee compliance with EPR (Extended Producer Responsibility), including packaging waste and recycling
Supplier & Customer Compliance
Complete customer compliance documentation and due diligence forms
Manage supplier approval processes and ensure compliance tracking
Maintain up-to-date ethical trade records, including SEDEX and supplier certifications (e.g. BRC, HACCP, Organic)
Auditing & Certification
Plan and conduct internal audits
Prepare for and support external audits (certification bodies, customer audits)
Maintain audit documentation and manage follow-up actions
ESG & Sustainability
Support the development and reporting of Environmental, Social, and Governance (ESG) metrics
Coordinate ESG strategy across departments
Training & Risk Management
Conduct or coordinate staff training on compliance topics
Assist in risk assessments and continuous improvement projects
2. Personal Assistant (PA) Responsibilities
Administrative Support
Take accurate notes and prepare action logs from Directors and Managers meetings
Follow up with internal personnel to ensure timely progress on assigned actions
Prepare internal presentations, reports, and summaries as required
Commercial Support
Extract and analyse commercial data from internal systems
Prepare costings, pricing models, and customer-facing proposals and presentations
Assist in the preparation of tender responses and commercial documents
Stakeholder Coordination
Act as a point of contact for the Directors regarding administrative and project-related matters
Coordinate diary management, meeting scheduling, and document preparation, hotel and flight/train bookings.
Key Skills & Experience
Experience in compliance, quality assurance, or environmental role
Knowledge of ISO 9001 and ISO 14001 standards
Understanding of UK food industry regulations, EPR, and SEDEX
Strong administrative and organisational skills
Excellent communication and interpersonal abilities
Strong commercial acumen and data literacy
Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with internal ERP or data systems is desirable
Ability to handle confidential information with discretion
Self-motivated and able to manage multiple priorities effectively
Qualifications
Degree or relevant qualification in Quality, Compliance, Environmental Management, or Business Administration (desirable)
ISO internal auditor training (desirable)
Previous PA, Executive Assistant, or administrative experience in a senior setting (essential)
