We are seeking a highly organised and detail-oriented Construction Administrator / PA to join our team working directly with management. This role is vital in supporting our construction projects through efficient administrative management, ensuring smooth communication, and maintaining accurate documentation. The ideal candidate will possess strong office experience, excellent computer skills, and the ability to handle multiple tasks with professionalism and efficiency. Duties
Manage and maintain project documentation, including contracts, plans, and reports
Coordinate schedules and appointments for project teams and clients
Handle correspondence via email, phone calls, and written communication with professionalism and courtesy
Input data accurately into systems such as QuickBooks, Microsoft Office, and Google Workspace
Assist with invoicing, billing, and financial record keeping using relevant software
Organise meetings, prepare agendas, and take detailed minutes for project meetings
Support procurement processes by maintaining supplier contact lists, placing and tracking orders
Perform general administrative tasks including filing, photocopying, and data entry to ensure efficient office operations
Liaise with various stakeholders to facilitate smooth project workflows
Qualifications
Proven office experience within an administrative or clerical role
Strong computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint).
Experience with Xero or similar accounting software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Strong typing skills for efficient data entry and document preparation
Good phone etiquette and professional communication skills
Previous administrative experience in the construction or related industry is advantageous
Ability to work independently as well as part of a team in a fast-paced environment
