Job Description


We are seeking a proactive and detail-oriented Contingent Workforce Coordinator to support the operations of our Contingent Workforce Management (CWM) program. This role is responsible for managing the onboarding lifecycle, maintaining contractor records and content, ensuring compliance, supporting invoicing processes, and facilitating communication across departments. The ideal candidate is highly organized, people-focused, and thrives in a fast-paced, service-oriented environment.
Key Responsibilities
Onboarding & Offboarding

  • Manage end-to-end onboarding for new contractors, including orientation, intake calls, and contractor transitions.
  • Coordinate execution of contracts, collection of tax/payment documentation, and system access setup in collaboration with HR, IT, and Finance.
  • Ensure new contractors receive appropriate access (email, Box, Zoom) and are accurately added to databases, mailing lists, and staffing systems.
  • Support offboarding processes and transitions between contingent and full-time roles.
Content & Documentation Management
  • Maintain and update contractor resources on Box, including onboarding guides, bios, headshots, how-to documents, and training materials.
  • Regularly update Standard Operating Procedures (SOPs), internal process guides, and tracking systems to reflect current practices.
  • Maintain and manage the team calendar for audits, content reviews, training sessions, and contractor engagement events.
Compliance & Data Integrity
  • Conduct regular audits of contractor databases to ensure accuracy and completeness of records.
  • Monitor and follow up on required compliance activities such as annual security training.
  • Partner with cross-functional teams to ensure policy adherence and standardized CWM practices.
Contract & Invoice Management
  • Track and process contract renewals in coordination with hiring managers and project teams.
  • Partner with accounting to ensure timely and accurate payments by collecting invoices, verifying project codes, managing approvals, and resolving payment inquiries.
Administrative & Cross-Functional Support
  • Provide administrative assistance for recruitment and contractor-related activities.
  • Act as a liaison between departments to ensure alignment with CWM protocols.
  • Represent the CWM team in weekly PMO meetings and contribute to special projects and initiatives.
Contractor Engagement & Communication
  • Assist in the planning and distribution of a quarterly contractor newsletter to share updates, key information, and best practices.
  • Help coordinate contractor events, community initiatives, and recognition programs to foster engagement and connection.
Process Improvement
  • Identify and support initiatives aimed at improving contractor lifecycle management, communication, and overall process efficiency.
What We're Looking For
  • 2+ years of experience in workforce coordination, HR, operations, or administrative roles (experience with contingent labor programs a plus)
  • Strong organizational skills and attention to detail with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in tools such as Microsoft Office, Box, Zoom, and Salesforce (or similar systems)
  • Experience with contractor onboarding, invoicing, and vendor collaboration is preferred
  • Ability to work cross-functionally and build strong working relationships across departments
  • Eligibility to work in the US permanently without sponsorship.

Annual Salary Range: $45,000-50,000 (based on experience and qualifications)
