This role is based in 3 New St Square, London.
-The Contract Administrator is responsible for ensuring that all appropriate contracts are in place and monitored for commercial activities . This role encompasses first- and second-line governance controls through the validation and confirmation of trades, playing a critical part in ensuring the accuracy of trade entries in the system, which directly impacts the precision of commercial invoices.
Safety: Oversee consistent application of Safety & Health principles in all discipline interactions and take personal responsibility for safety of self and others to ensure zero harm and elimination of fatalities.
Performance and Delivery
Check and validate daily trade entries in the Trading System against deal blotters to ensure control and accuracy, impacting commercial invoice precision.
Review and sign off deal blotters, ensuring proper filing and storage in relevant systems while maintaining timely and accurate contract information.
Interface with front office to analyze key contractual terms and conditions, identifying and evaluating contractual mismatches in purchase and sales contracts, and collaborating with front office to optimize value through contractual terms.
Protect and minimize potential value loss by managing contractual and commercial terms of third-party contracts, while evaluating payment terms to advise on cash flow and working capital management.
Draft contracts and confirmations, submitting standard agreements to customers for review and liaising with them to finalize terms, escalating to legal and front office when necessary.
Issue framework agreements , track supplier and customer communications regarding contracts, and ensure timely blotter submission per SOP while monitoring compliance of all contractual obligations.
Follow up on third-party warehouse inventory reports and track execution of contracts, filing all contractual documentation in the relevant repository.
Provide regular and ad hoc reports on contract status and performance, executing contract administration activities in alignment with Group Business Integrity and Governance policies, and escalating compliance discrepancies through appropriate reporting lines.
Maintain accurate records within relevant systems, ensuring credit lines are established and contracts are signed prior to shipment execution to avoid breaches, while managing the approval process for timely returns within the governance framework.
Support continuous review of Standard Operating Procedures to identify improvement opportunities and assist in system enhancements within contracting functions.
Provide remote support to other regions as a backup when required, ensuring seamless continuity of operations.

Qualifications
-Minimum 3 years experience in Contract Administration or Contract relating role
Degree / Diploma, preferably in commercial, legal or business
Experience:
Minimum of 3 years relevant experience
Technical knowledge(experience) required for role:
Demonstrate experience in contract preparation and execution within a trading environment.
Possess knowledge of sales operations process, trade finance instruments such as letters of credit, warehousing, logistics, and dry bulk and container shipment management (desirable).
Exhibit a high level of commercial acumen, strong numerical and analytical skills, and attention to detail.
Utilize proficiency in Excel and Word, experience in ERP systems (desirable).
Maintain a proactive, disciplined, and organized approach to work.
Implement strong workflow, coordination, and process orientation.
Work independently with minimal supervision.
