The Role
Our Contract Administrators play a key role in keeping operations organised -- coordinating people, equipment, and schedules each day.
You'll balance client communication, job scheduling, and logistical planning to ensure every project is delivered safely, efficiently, and on time. This is a busy, high-volume role that requires accuracy, adaptability, and the confidence to make decisions.

Key Responsibilities
Client & Project Coordination
Act as the main point of contact for clients, handling a high volume of enquiries with professionalism, ensuring all correspondence is responded to promptly, in line with company policy.
Schedule site visits, manage project diaries, and ensure information flows smoothly between teams.
Producing and distributing quotations.
Ensure job specific notes are updated regularly to ensure continuity.
Process accepted quotations, organising everything from TPO/CA checks to parking suspensions, traffic management, and equipment hire.
Ensure all resources -- people, equipment, and permits -- are in place for every job.
Sign off completed works and issue invoices promptly.
Operational & Administrative Support
Maintain digital and manual filing systems with precision.
Supervise and manage multiple managers' electronic diaries.
Support compliance with company policies, Health & Safety, and industry regulations.
Data & Performance Management
Keep the works programming database accurate and up to date.
Generate reports (e.g. KPIs, acceptance rates) and spot trends to support decision-making.
Teamwork & Culture
Work closely with colleagues, clients, and suppliers to deliver the highest standard of service.
Demonstrate a proactive attitude -- always looking for ways to make things better, faster, and smarter.

Person Specification
Essential Skills & Experience
Minimum 2 years in a similar high-volume scheduling/coordination role (e.g. tree surgery, engineering, construction, facilities, or utilities).
Excellent IT skills.
Strong organisational, multitasking, and prioritisation skills -- able to stay on top of competing deadlines.
Confident communicator with clear, professional written and verbal English.
Proven ability to think on your feet, solve problems, and work independently when needed.
Experience of managing permits, equipment hire, or similar logistical elements.
Positive team player who brings energy and initiative to every task.
What We Offer
Salary: 25,500 - 28,500 (depending on experience)
