We have an exciting opportunity for a highly organised and detail-oriented individual for the position of Contracts Administrator on a Fixed Term Contract basis for between 6 to 9 monthswithin our Order to Cash Team in the Existing Installations side of our business. The successful candidate will focus on ensuring the accurate processing, management, and compliance of customer contracts with company standards and client expectations. They will possess exceptional attention to detail, strong problem-solving abilities, and a solid understanding of contract administration processes.This position offers excellent opportunities for personal and professional development within the local and global Schindler organisation. This is a permanent and full time position.




What you'll be doing:




Contract Processing and Maintenance Processing service contracts set up, by entering & changing data as required for Conversions, resigns, recoveries, free maintenance, builders lifts and losses in SAP and Optimus Reviewing contract and project files when accepting contract set-up requests and clear up any ambiguities and issues prior to contract set-up Notifying relevant parties of new contract setup Completing all required documentation Maintaining accurate service contract files Obtaining a working understanding of contract administration across EI/NI/MODs, to provide cross-functional support to the business Verifying the accuracy of Optimus quotes, ensuring no duplicates, and process contracts into SAP Creating and updating equipment records (including geo-coding and assigning engineer routes)
Processing Function Locations and PCM (Pre-Contract Maintenance) or BBU (Builder's Beneficial Use) contracts from NI documentation
Managing contract cancellations (Stage 1 and Stage 2) following director-level approval Update monitoring functions to close down service plans for cancelled contracts and modify active contracts as needed Correct and update contract details (e.g., billing periods, pricing, PO numbers, object types, and end dates) in line with requests from the EI Sales Team, ARUK GB, and other authorised personnel Preparing processing and communicating non-standard service and framework agreements, ensuring alignment with operational and legal standards Advising and supporting service leaders, key account managers, and branch managers regarding contracts, quotes and terminations Guide and support the businesses (branches, AR, Operations, Credit Control etc..) in performing contract management tasks Employees must comply with Company Health & Safety requirements and set a personal example of safe behaviour Working in accordance with established Company Occupational Health, Safety and Environmental policies, procedures and Schindler Core Values to ensure compliance with current UK legal requirements and Schindler Group Safety requirements Contributing to the Company's safety objectives, where necessary, by maintaining/monitoring current safety systems under their direct control and implementing agreed changes (where applicable) to Schindler Ltd occupational health and safety management system


What we're looking for:




Significant interaction with key operational stakeholders across the business is needed, so strong and clear communication skills (verbal and written) is necessary Experience in a Contract Administration or Data Entry role that requires high attention to detail Construction, Services and related industries preferred Significant interaction with key operational stakeholders across the business is needed, so strong and clear communication skills (verbal and written) is necessary Basic knowledge of generally accepted accounting principles Proficient use of Office 365 (Excel, Word, PowerPoint, Outlook). SAP experience and Power BI will be highly regarded Ability to build and maintain strong relationships with stakeholders and the commitment to perople development
