Contracts Administrator

Job Description

An experienced Administrator to support our contracts team through the completion of key project administration tasks. Detail-oriented with strong organisational skills to carry out administrative duties to a high level. Ability to work effectively in a busy environment and maintain excellent communication with colleagues and suppliers in the UK and around the world.

Responsibilities & Duties

Arrange hire and off-hire of plant equipment. Organise plant documentation, including data sheets and health and safety information. Purchase materials and raise purchase orders. Coordinate deliveries to site. Update and maintain asset register for calibration of equipment. Collate project information to complete Operations and Maintenance Manuals. Collate and add project information to CRM (Archdesk) system ahead of project start. Collate and add project expenses in CRM (Archdesk) system. Work closely with contracts team and design department to ensure projects can be handed over with all relevant documentation available and complete. Health and Safety administration. Raise invoices for small works with the support from the finance department. Build and maintain strong relationships across all departments. Other general administrative activities as required to support with the contracts team.

Skills, Experience & Certifications

High level of accuracy when completing work. Ability to manage multiple tasks simultaneously. Comfortable working in a busy and time-sensitive environment. Good IT skills (Microsoft Office and PDF creator software). Quick to learn and use other software and systems.

Other Information

Hours of work: 37.5 (Monday to Friday 8.30am-5pm with 1 hour lunch break)
