Job summary
The Royal Commission was established in 1908 and is a recognised centre of excellence in the heritage field. We are sponsored by the Welsh Government and analogue to them for pay, grading and most of our terms and conditions of service. We employ around 30 people at our offices in Aberystwyth, some of whom work on externally funded projects. Although small, the Commission is a friendly and dynamic place to work with staff who are highly skilled and qualified, enthusiastic, focused and committed to their work. Most of our staff fulfil specialist roles, for example in archive administration, archaeology, architectural history, or information management. Their work is guided by the Secretary/CEO of the Commission and by its Chair and Commissioners.
The Commission has successfully signed up to several initiatives over the years including the Mindful Employers Charter, the Disability Confident Scheme and the Dying to Work Scheme. As an organisation based and working in Wales, we are committed to developing a bilingual workforce and are investing in our staff and in providing opportunities for them to learn Welsh and develop their language skills. In 2018 we were pleased to be awarded the Ceredigion, Powys and Carmarthenshire Welsh in the Workplace Award. The Commission is also a Living Wage employer.
The Corporate Executive Assistant will assist the Secretary by carrying out strategic and organisational tasks. These include co-ordinating the quarterly meetings of Commissioners and internal strategy and management meetings in accordance with the Welsh Government's guidelines in order to accurately reflect the work of the Commission.
Additionally, the role will play a key role in supporting the Commission's Welsh Language and Equality and Diversity Officers through co-ordinating compliance-related tasks including reports.

Key tasks

Responsibility for co-ordinating reports, papers and documents for key meetings including Commissioners meetings, Cadw Monitoring meetings, and other planning and liaison meetings and take minutes where required.
Preparing minutes of the Commissioners' meetings and other management meetings as required.
Be responsible for collating and co-ordinating the Commission's quarterly performance monitoring procedures.
Liaising with staff responsible for co-ordinating, collating and maintaining the Commission's Risk Register.
Maintaining relationships and working in partnership with colleagues at all levels across the organisation and with external agencies and bodies.
Research and prepare key documents as and when required and present them when necessary to Commissioners, managers and/or staff.
Be the first point of contact for enquiries relating to the Secretary. Ensure any messages are forwarded or actioned quickly and efficiently.
Ensure that the Secretary's correspondence is dealt with quickly and efficiently where appropriate and to a high standard.
To support both the Welsh Language Officer and the Equality and Diversity Officer in meetings and the preparation of reports. Additionally to take ownership of co-ordinating the process of completing and filing impact assessments to.
Assist the Secretary in developing and progressing policies and strategies in order to comply with new Welsh Government initiatives.
Undertake appropriate project, outreach work, or other duties as may be agreed by the Secretary.

Demonstrate proven experience of working in an administrative role and / or appropriate professional or academic qualifications (such as a level 3 accredited diploma in Office Administration)
Experience working in a Corporate Administration / Governance role within the Public Sector
Ability to develop and maintain positive and professional working relationships with staff and external contacts including the Welsh Government and other outside organisations.
Ability to work with a high degree of autonomy, proactivity and minimal supervision and be responsible for prioritising own work load in light of organisational and conflicting priorities.
A good understanding of working across the Microsoft 365 suite of apps (e.g., Outlook, Teams, SharePoint, OneDrive), basic troubleshooting skills, and confidence in learning new software packages. Experience working with AI tools, particularly Microsoft Co-Pilot, would be advantageous
Have a strong commitment to effective customer service and understand the importance of this to a public information organisation.
Be committed to a team-based approach to achieving objectives.
Have an understanding of the Royal Commission's Welsh Language Policy.
A basic knowledge and competence of spoken and written Welsh to a minimum of level 3 on the Welsh Skills Assessment Framework. (see job full job description for further information)
