Job Description

Our client is seeking a highly organised and proactive Team Assistant to join their Corporate Department based in Birmingham City Centre.

This is an excellent opportunity for someone with strong PA or team support experience, looking to work closely with senior legal professionals and play a key role in the smooth running of a dynamic and busy team.

You'll provide high-quality, client-focused administrative support to the Partners and senior team members.

Your day-to-day will include:



Acting as a key point of contact between the team and clients, handling communications with professionalism and discretion.

Managing diaries, meetings, and inboxes--ensuring priorities are flagged and deadlines are met.

You will be working as an administrator for the new learning management system (LMS), a platform designed for external clients. Your responsibilities will include scanning client IDs and legal documentation, ensuring these are securely stored in accordance with compliance procedures, and performing other duties as required.

Preparing correspondence, reports, presentations, and legal documents from audio or copy typing.

Supporting meetings by preparing materials, attending where required, and taking minutes.

Assisting with general administrative duties such as filing, post, document scanning, copying, and maintaining client files to Lexcel standards.

Supporting other secretaries across the department during peak periods.

Key skills required to be successful in the role:



Previous experience in a PA, Executive Assistant, or Team Assistant role is essential, ideally within a law firm or professional services.

Strong organisational and time management skills, with the ability to juggle multiple priorities.

Excellent written and verbal communication, with a confident, professional phone manner.

A client-focused, proactive approach, always delivering a high standard of service.

A high level of accuracy and attention to detail, especially when handling sensitive client data.

Excellent IT skills, including Microsoft Office (Word, Outlook, Excel, PowerPoint) and the ability to learn new systems (such as LMS) quickly.

Strong interpersonal skills, able to build positive relationships with colleagues and clients alike.
