Credit Controller - Main Duties

Support the Finance Department overseeing the collection of customer accounts in a manner which ensures a high-quality standard of service and customer satisfaction. Creating the daily Order Summary at the end of each trading day to be shared with the Board and Management Accountant to ensure that all orders are captured for invoicing. Raising customer invoices on a daily basis, making any necessary adjustments to order details arising from delivery information and/or feedback from the Order Summary. Minimising the invoice Discounting (ID) Facility disallowed/unfunded debt (i.e. debt aged 90 days and over) as far as possible. Ensuring that the Invoice Discounting funding limit is monitored effectively and efficiently by chasing all overdue debt to ensure drawdowns are never restricted. Allocating receipts to customer accounts, obtaining customer remittances and other information where necessary to allow correct allocation. Liaising with customers to maintain good relationships to support debt collection processes. Ad hoc duties to support the wider team as required.

Customer Complaints

Completing the customer complaints log (Document 10.3c) from the customer complaint emails. Raising management-approved credit notes required to address customer complaints and issuing them to customers. Sending claims to couriers arising from transport damages within the prescribed claim deadlines. Sending claims to product suppliers for supplier damages or other non-conforming products as required. Escalating potential food safety issues associated with complaints and claims to the BRC team.

Financial Risk Management

Agreeing suitable credit limits for individual customers based on credit risk reports and discussion with management. Analysing and identifying poor payment trends to facilitate early action. Liaising with debt collection agencies and credit insurers as necessary. Monitoring customer balances against credit limits to ensure that customers do not exceed allowed credit. Running a weekly debtors report to make recommendations to manage risk including placing customers on hold, requiring pro forma payment for orders, implementation of payment plans and other actions.

Experience Required
