Swift Heating Solutions is a fast-growing heating and renewables company based in Poole. We install air source heat pumps, boilers, underfloor heating and air conditioning across Dorset and Hampshire. With increasing demand and a busy installation schedule, we are looking for a highly organised Customer Service / Office Assistant to support our sales team, engineers, and day-to-day operations.
This role is ideal for someone who enjoys a busy office, takes pride in clear communication, and can keep the business running smoothly behind the scenes.
Key responsibilities
Handling incoming calls and customer enquiries
Managing the sales pipeline and updating job stages
Sending structured follow-ups (48-hour callback, Follow-Up 1/2, Push to Close)
Preparing BUS grant applications and uploading required documents
Scheduling surveys, installations, service visits, and remedial work
Communicating with customers throughout their project
Raising invoices, taking payments, and chasing outstanding balances
Assisting with purchasing orders, job packs, and engineer support
Organising installation photos, forms, commissioning sheets and MCS compliance documents
Keeping dashboards, job notes, and reports accurate
General office administration and supporting the management team

Salary and benefits
28,000-32,000 depending on experience
Training provided on , MCS documentation, and BUS processes
28 days holiday including bank holidays
