Job Description

A Customer Support Representative plays an essential role in driving the business' brand image by ensuring that every customer's interaction with Imex is a positive one. The team handle a high volume of tasks via phone and email where the resolutions provided are simple, timely, and accurate. Delivering this high level of service and support helps to drive business retention and growth by promoting advocacy amongst our customers.

A Customer Support Representative (CSR) provides support and assistance with the following day-to-day functions within the sales office.

Accountability and Responsibilities



Order Processing through requests via email and Phone Answering queries regarding, stock, product, deliveries and aftersales Processing Customer returns Taking requests from our external sales staff and also ensuring they are updated on anything relating to their area/customer. Organising for external staff to have the correct point of sale and tools as when and required. Updating our CRM system Order management Working alongside our Dispatch department with sending out orders. Ad-Hoc tasks when required.

Supporting activities



To ensure our delivery SLAs are met, the role also involves holiday and sickness cover of the Dispatch Coordinator with the responsibilities below:

Organising picking lists into pallet sizes and correct van routes Liaising with couriers including Parcelforce and The Delivery Group Dispatching singular and batch orders using Sage200 Software Working closely with sales teams and warehouse team to ensure orders leave promptly and accurately for customers Accessing proof of delivery from various carrier websites as required

Personal skills & attributes:



Previous experience in a similar customer service role Good verbal and written communication skills. Ability to actively listen and ask probing questions. Confident use of IT systems and software e.g., Outlook, word, basic Excel. Works at pace and with a sense of urgency. Understands the commercial implications of their actions. Ability to prioritize own workload. Quick learner with the ability to pick up new processes and systems, both taught and independently learned. Enthusiastic, "can-do" approach. Attention to detail Time management

Reporting



The Customer Support Representative (CSR) reports to the Office Manager and will maintain a close working relationship with all other areas of the business including the external sales team, Dispatch/Warehouse & Purchasing Departments to ensure all business functions and customer needs are fulfilled.
