The Role:
You will play a vital supporting role in the successful migration of data as part of Xeinadin's ongoing systems transformation projects. Working closely with Practice & Change Managers and local office teams, this role focuses on the practical aspects of data cleansing, validation, and coordination prior to practice management system migrations.
This is an administrative, hands-on role suitable for someone with a strong eye for detail, confidence working with spreadsheets and data files, and the interpersonal skills to liaise with multiple offices across the firm. The role reports centrally into the Director - Practice & Change Management, based in Manchester, while being deployed regionally to provide support on the ground.
What You'll Be Doing:
Engage with multiple regional offices to assess the current state of data within their practice management systems.
Map data fields, understand data interdependencies, and identify areas requiring data cleansing.
Provide support with the data cleansing activities (formatting etc).
Prepare data exports and assist in applying standardised formatting and data validation checks.
Flag inconsistencies, incomplete records, or potential duplicates to the Practice & Change Manager for resolution.
Update data tracking logs to reflect cleansing progress and outstanding issues.
Recommend improvements or standardisation opportunities based on data assessments across offices.
Ensure consistency of field usage and naming conventions to support firm-wide reporting and compliance.
Liaise directly with office teams to guide them through basic data cleansing tasks and answer process-related queries.
Provide administrative support for scheduling local workshops, training sessions, or data review meetings.
Maintain checklists and documentation to ensure consistency across different offices and regions.
Assist in the collation and preparation of data files required for upload or migration to new practice management platforms.
Carry out pre-migration and post-migration checks against control lists to ensure completeness and accuracy.
Escalate any data-related risks or blockers to the Practice & Change Manager or central project team.
What We're Looking For:
Previous administrative or data-handling experience, ideally in a professional services environment.
Strong attention to detail with the ability to follow structured processes and document outcomes.
Confident using Microsoft Excel and working with data files (e.g., spreadsheets, exports from practice systems).
Clear and confident communication skills (written and verbal) with the ability to work across both technical and non-technical teams.
Excellent planning and organisational skills, with a focus on meeting deadlines in a project environment.
High attention to detail.
Experience working in a multi-site or regional environment desirable but not essential.
Working knowledge of Microsoft SharePoint (or similar collaboration tools).
