Job Role and Responsibilities
EMIS and Documentation Workflow
Administer all electronic and paper copy documentation workflow under the supervision of the Operations lead, coding documents, content as necessary, recording follow up needs and auctioning these accordingly
Action EMIS tasks as necessary
Check lab reports for correctness and process accordingly
New and temporary registrations and deduction of patients who have left the practice.
New and Temporary patient registrations and help with patient deductions is required.
Report on vital statistics extracted from EMIS - practice list size, patients per GP, etc
Admin
Oversea the Admin emails ensure actioned and distributed as required.
8AZ - search in ardens- follow up tasks list safety net search for patients - ensure reviewed and actioned monthly
Support with any Building maintenance & defects.
Back-office administration support as directed by operations lead
IT support adhoc as and when required in the absence of the operations lead
Assist with basic summarizing medical records
GP2GP filing of new patient records including adding medications.
Smear recall and recording
New and Temporary patient registrations
Non - responder / not known at address - action.
Adding/Coding Immunisations for under 6s and pneumococcal immunisation onto new patients records as necessary.
IT
Support on all areas of IT as required with the admin team ask Sarah & Susan for assistance:
o Support point of contact for all IT upgrades - hardware and software
o Sorting and reporting IT issues on behalf of all staff
o EMIS support - profile configuration, adding users, searches, templates
o Managing text messaging services within the practice
o Advising management on and initiating technological solutions for everyday tasks
o Remote Access platform for remote working
o Telephone Systems & Operations
o Diagnostic checks/ equipment maintenance- nurse equipment.

Buildings Maintenance and compliance-
The health centre building is managed by NHS Property Services, the role is to support the maintenance team as point of contact for the practice
Take the lead on building defects and report to NHSPC through the appropriate channels
Maintain the estate schedule register for building maintenance provided by NHs property services, ensuring building compliance with health & safety laws.
Notes Summarising Duties- Subject to change
In accordance with practice standards as defined with the Summarising protocol:
Maintain the practice summarising protocol, ensuring reflecting current practice.
Summarise/ check all new patient paper and electronic records are upto date
Summarise existing patient notes where an insurance report is requested
Summarise existing patient notes at Drs' request
Spontaneously tidy and maintain existing notes
GDPR
Oversee the Subject Access Request process and administration of all requests
Ensure the safe keeping of medical records.
Support if required / action the medical insurance report process and administer requests including raising invoices, chasing payments, recording and monitoring requests. (This role will is shared with the medical secretary on an alternate basis)
Redacting of patient notes- as needed
Safeguarding redaction of police reports
Data Quality
Understand the data quality searches in Emis/ Ardens: drill down information and correct/ resolve any issues
Interrogate and utilise Ardens to the maximum
Support IT tools - klink/ Accurx Telephone- provide data information as required
Support website Maintenance.
Assist with Monthly Audit search in GDPR- Spot inspections.
Maintain an up-to-date library of processes for own area of work.
Regular meetings with safeguarding lead GP assist with admin of register and queries as required
Near Patient Testing recall and recording
Reporting and monitoring certain drug use amongst patients.-Issue Weekly Drug monitoring prescriptions in line with protocol & GP supervision.
Zoladex and Prostap injections monitoring
Assist with weekly adding the appointment templates as guided by Operations lead for all clinicians
