Job Description

The Database and Evaluation Officer will play a pivotal role in ensuring Terapia's Clinical/Client Database is effectively managed, secure, and fit for purpose, while also driving the organisation's evaluation and impact reporting.

This dual role combines technical database administration with responsibility for monitoring and evaluating the outcomes of Terapia's therapeutic work. The post-holder will oversee user access and support for trainee therapists and staff, maintain data accuracy, and develop reporting tools that enable effective clinical oversight.

Alongside this, the officer will lead on the collection, analysis, and reporting of outcome data, evidencing both individual client progress and the wider impact of Terapia's services. They will produce clear, accessible evaluation reports for internal stakeholders, trustees, funders, and regulators, contributing directly to service development, quality assurance, and organisational learning.

The role is ideally suited to someone with strong technical and analytical skills, who is equally comfortable working with data systems and drawing meaningful insights from complex information to support Terapia's mission of improving the mental health and wellbeing of children, young people, and families.

Main Responsibilities

Act as system administrator for Terapia's Clinical/Client Database.

Manage user access, permissions, and accounts (e.g., setting up new trainees, revoking access when training ends).

Provide training, guidance, and first-line technical support for trainees and staff in use of the database.

Monitor and maintain data integrity, accuracy, and consistency across records.

Develop reporting functions to support clinical oversight, quality assurance, and organisational decision-making.

Work with Terapia leadership to identify and implement system improvements and new functionality.

Oversee compliance with GDPR and safeguarding standards, ensuring sensitive data is stored securely and confidentially.

Liaise with external database/software providers for updates, troubleshooting, and development requests.

Maintain documentation and user guides for database processes and procedures.

Support wider administrative and operational needs of Terapia as required.

Collect, analyse, and report on client outcome measures to evaluate therapeutic progress and service effectiveness.

Develop and maintain systems for monitoring service-level impact, including safeguarding events, client engagement, and therapy outcomes.

Produce regular evaluation reports for internal use, senior management, funders, and regulatory bodies.

Work with Terapia leadership to design and refine data collection tools and processes for evaluating impact at client, trainee, and service levels.

Identify trends and insights in clinical and service data to support continuous improvement and inform organisational strategy.

Ensure evaluation findings are translated into accessible information for stakeholders, including trainees, staff, trustees, and external partners.

Contribute to research and development activities by supporting data extraction, preparation, and analysis for projects/publications.

Proven experience in database administration, data management, or similar role.
