The Daycare Operations Manager is responsible for the strategic leadership, operational management, development and promotion of the organisation and its services. This role ensures that the daycare service operates safely and efficiently, delivering high-quality services to the community, by building strong partnerships, and achieves its strategic objectives. The postholder will lead staff, manage resources, oversee financial and administrative systems, liaise with statutory and non-statutory and third-party stakeholders and drive continuous improvement and innovation. Cover the full functions of the Daycare Coordinator in their absence or as and when required.
Key Responsibilities
Strategic Leadership and Governance
Work with the Chief Executive and Board of Trustees to implement the organisation's strategic vision and business plan.
Provide regular operational and strategic and financial reports to the Chief Executive and Board and contribute to strategic decision-making.
Ensure robust governance and compliance with all legal, statutory, and regulatory requirements.
Support the Chief Executive and Board in meeting its governance responsibilities, including charity and company law compliance.
Identify opportunities for growth, service development, and innovation.
Operational Management
Lead day-to-day operations of the organisation, ensuring services are delivered effectively, efficiently, and to a high standard.
Responsibility for staff recruitment, induction, training, supervision, and performance management.
Implement and monitor policies, procedures, and systems to ensure effective service delivery and organisational performance.
Lead quality assurance processes, including regular evaluation and continuous improvement initiatives.
Responsibility for managing health and safety, risk assessment, and safeguarding processes across all activities.
Financial Management
Responsibility for budgeting, financial planning, and reporting, ensuring the daycentre remains financially sustainable.
Monitor income and expenditure, prepare monthly financial reports, and work with auditors on annual accounts.
Ensure all financial documentation for funders, regulators, and partners is accurate and submitted on time.
Negotiate contracts, manage supplier relationships, and oversee procurement.
Identify and secure new funding opportunities, including grants and partnerships.
Community Engagement and Partnerships
Strengthen the organisation's visibility and reputation as a key community daycare provider.
Develop and maintain strong relationships with local authorities, community groups, funders, and partner organisations.
Lead on communication strategies including newsletters, website, social media, and community outreach.
Develop partnerships and engagement programmes that enhance service provision and support strategic objectives.
Maintain up-to-date records of members, partners, and stakeholders.
Business Development and Income Generation
Boost income generation by maximising daycentre attendance
Drive income diversification through room hire, service contracts, partnerships, and funding bids.
Support project management of new services and initiatives until they are embedded into core operations.
Develop and monitor KPIs, service level agreements, and performance targets.
Administration and Compliance
Oversee all administrative functions including record-keeping, bookings, and documentation.
Ensure insurances, licences, and legal documents are current and compliant.
Attend Board meetings, AGMs, and meet all reporting requirements.
Ensure timely recovery of outstanding monies owed by clients.
Key Performance Indicators (KPIs)
Monthly financial and operational reports submitted accurately and on time.
Responsibility for
Monitoring overall viability of the daycare service.
Increased utilisation of facilities and services year on year.
Delivery of agreed outcomes under all service level agreements.
Full compliance with governance, risk, health & safety, and safeguarding requirements.
Positive engagement and collaborative relationships with key stakeholders.
Successful submission of grant and funding applications.
Effective recruitment, development, and retention of staff and volunteers.
Other Duties:
