This is a non-legal, administrative support role within our Deeds department. You will work closely with solicitors, assistants, and outsourced teams to ensure all required documentation, data, and communications are processed efficiently and accurately. It's an ideal role for someone with strong attention to detail.
Key Responsibilities
Quality checking deeds prior to registration (ensuring they are correct per our instructions and per the title for the property)
Accurately completing registration applications via the Registers of Scotland online portal and submitting for registration
Drafting of Standard Security and Discharge of Standard Security deeds when required
Updating our case management system accurately following submission of applications and completion of registration upon receipt of updated titles
Liaising with lenders and clients who are expecting updated title documents following registration
Filing submitting deeds
Following our dematerialisation process once registration has completed
Updating lender portals as required as part of our post-completion requirements
Dealing with our Deeds Enquiries inbox (this will be a more advanced task once the basics have been established)
Chasing other solicitors and lenders for outstanding deeds when required
Dealing with the non-remortgage MMiAuthorities and the Enabling inbox for all MMiAuthority related enquiries
There will be other ad-hoc tasks from time to time, but these tasks cover the core of what we do. As you will understand - it is important that the new person either has an understanding of titles / registration, or has a problem solving mindset that will allow them to be able to pick this up fairly quickly. Tasks are of varying difficulties, but they are all interlinked, as you gain more knowledge on the more basic tasks, the bigger picture starts to become clearer.
