We have position available to work along side our existing reception team, providing a first class customer service and proactively manage the non-clinical relationship with potential and existing patients. You must have a proven sales ability and have excellent listening skills with an empathetic approach to patients.

Key Responsibilities:



Manage all enquiries from potential new clients, providing information on the services offered by the practice, according to the brand standards. Ensure fast follow up to all enquiries, with the aim of booking an appointment and achieving new clients for the practice. Effectively manage the appointment book for all dentists/hygienists/therapists ensuring daily targets can be met and the booking system is followed. Manage the holiday/days worked and rescheduling systems for all providers. Proactively market the services of the practice, with the aim of recruiting new patients and selling appropriate services and products to existing clients. Including: Follow up contacts and recall contacts. Manage treatment plan reactivation. Manage referrals and testimonials and request reviews. Oversee general mailings, proactively manage and follow up and monitor responses. Provide information on the practice membership plan, and proactively sign up/convert members. Involvement in practice open evenings, events and other marketing campaigns. Manage the reception and client lounge. To include: Meeting and greeting all patients, providing a customer focused and seamless patient journey according to the practices brand standards. Welcoming new clients to the practice and introducing them to the practice philosophy Answer all phone enquiries according to the practice's brand standard Managing the patient journey post treatment or first appointment in order to build long term relationships with patients. Provide and explain payment options where appropriate, take payment, set up finance if applicable and book the next appointment. Manage referrals from GDP's, sending letters to the referral patients and follow up patients to book them in. Ensure 'front of house' is maintained to a high standard and complete daily housekeeping tasks, according to the practices brand standard. Monitor and maintain the relevant systems, in order to provide regular reports to the management team on: Appointment book captivity Daily production New client and referral source Treatment plan take up and follow up contact Patient recall response The systems for the appointment book, and planning for all patients after their appointment with the dentist. Assist the fee earners in take up of treatment plans. To include: Discuss treatment options with the patient, identify any concerns and objections, answer their questions and gain agreement to the treatment plans such that meets the patient's needs Write up and issue all treatment plans such that meet the patient's desired outcomes. Ensure every patient has a signed treatment plan before they have treatment. Contact all patients within 14 days of sending/giving their treatment plan, with confirming the go ahead for treatment. Discuss any issues and book the appropriate appointments, discuss payment options and take payment as necessary. Ensure that all the relevant paperwork is completed promptly and accurately and that all client records and updates are maintained, according to practice procedures. Proactively contribute to regular practice meetings.
