Overview



The Straight Tooth Company is a small independent private orthodontic practice based in Ringwood. We're looking for a friendly, professional and confident receptionist to act as the initial contact for our patients. You'll be someone who enjoys hosting others, organising and problem solving behind the scenes whilst ensuring we provide a calm, welcoming and professional environment with excellent customer service and attention to detail.

The practice is just about to celebrate its 5th birthday and we're seeking a new team member to join our 'Straight Tooth family' as the business continues to grow. As a private, specialist orthodontic practice in the heart of Ringwood, we pride ourselves on providing honest, high quality treatment and a professional service for patients of all ages. We like to do things a little differently, and aim to make a visit to the practice more like catching up with friends for a coffee or enjoying a spa treatment. Lots of our patients comment on how they'll miss coming to us after their treatment ends and our Golden Retriever therapy dog, Kobe, certainly adds an extra bit of magic to the experience.

Responsibilities

We are looking to recruit a dental receptionist who is reliable, keen and quick to learn. We would like a team player who genuinely cares about patients and wants to enjoy coming to work like we do!

The main duties for this role involve:

Providing a warm and friendly, yet professional welcome to patients of all ages, ensuring they are cared for in the reception area.

Effectively managing the clinic diary, scheduling appointments, handling cancellations and communicating with patients effectively via telephone and email.

Maintaining accurate patient records and ensuring confidentiality at all times.

Answering patient enquiries and processing payments promptly and professionally.

Working collaboratively with the whole team to ensure a 5 star patient journey throughout each step of their treatment, whilst also helping to maintain good working relationships which allow The Straight Tooth Company to remain a pleasant and enjoyable place to work.

Assisting with administrative and compliance duties to ensure the smooth running of the practice and adherence to regulations.

Experience

As the the ideal candidate, you will:

Be able to demonstrate strong experience in providing excellent customer service, whether that's in a dental/medical setting, hospitality or another sector. You'll enjoy hosting patients in our reception area to ensure they are relaxed and well informed. Whilst previous dental or medical experience is ideal, it's not essential as training will be provided and demonstrable experience of transferable skills from other sectors, together with a confident and dynamic character, are more important to succeed in this role.

Have excellent written and verbal communication skills. You will usually be the first contact between patients and the practice, so whilst full training will be provided, you should be a clear and confident communicator. This role is vital for the success of the practice.

Be able to think on your feet, providing useful and clear information to patients whilst being able to judge when to refer decisions and queries on to clinicians or the Business Manager. You'll be confident working independently but enjoy working as part of a small, energetic and growing team.

Have strong IT skills and be proficient in using Microsoft applications. Our practice management and compliance software is all cloud based and training will be provided but previous experience in using MS apps and similar systems will be advantageous.

Two team members are currently being supported in working towards dental nursing and orthodontic therapy qualifications. As staff members develop, they are given regular pay reviews and increases proportionate to their contribution to the team. If you show us you are a valuable and committed team member, we will reward and support you however we can to develop your career.

The practice is open 12pm - 7pm on Mondays, Wednesday and Fridays and 9am - 5.30pm on Tuesdays and Thursdays. We are looking for someone available 3 days per week initially with a view to potentially increasing this.
