Job Summary
The Depot Administrator will support the Management and Supervisory staff in
providing a well organised depot, ensuring that all administrative tasks are
handled professionally and in accordance with company policies and legal
requirements. The role will involve maintaining records, assisting in compliance
audits, dealing with public complaints, and managing various administrative
functions to support the smooth running of the depot.
Main Responsibilities
Administrative Support:
Assist Depot Management and Supervisory staff in providing efficient
administrative services to ensure smooth garage operations. Handle all incoming and outgoing mail, both internal and external, and
respond to or redirect correspondence as appropriate. Compile meeting minutes, distribute them to relevant personnel, and follow
up on action points.
Employee Relations and Record Keeping:
Promote a positive working environment through good administrative
practices and effective working patterns. Maintain accurate records of staff details, equipment, and property issued,
ensuring all data is up-to-date.
Audit and Compliance:
Ensure full compliance with standard garage procedures by conducting
regular driving licence audits. Communicate with managers to address any non-compliance or areas for
improvement. Compile and audit garage lost mileage returns in line with contract
compliance.
Public Complaints and Enquiries:
Receive and handle public complaints and Police enquiries, ensuring they
are addressed according to TfGM requirements. Ensure accurate records are kept for all complaints and enquiries, and they
are escalated when necessary.
Stationery and Stock Management:
Monitor and manage stock levels for office supplies, ticket rolls, and other
items required for the efficient operation of the garage. Reorder supplies as necessary to ensure continued availability.
General Office Management:
Maintain accurate and organised filing systems, ensuring all administrative
records are kept securely and can be easily accessed when needed. Ensure the office is well-maintained, with all necessary resources available
for staff to carry out their duties effectively
Cash Reconciliation and Processing:
Accurately process and reconcile daily cash takings, ensuring all discrepancies are investigated and reported promptly.
Prepare banking reports, balance cash sheets, and liaise with relevant departments regarding any financial variances.
Ensure adherence to company policies and financial controls regarding cash handling, security, and auditing procedures.
Support the Finance Team with reconciliations and provide data for internal and external audits.

Essential Criteria
Applicants should be numerate and accurate in their work, with excellent
attention to detail. They should be able to demonstrate initiative, flexibility and have a
committed approach to their work. Skilled in the use of IT systems, including Excel, Word, and Email.
Experience with internal IT systems, particularly DAS, is desirable, however
training can be provided. A good telephone manner and the ability to get on with people and work as
part of a team. Knowledge of driver hours regulations is essential.

maintain accuracy in record-keeping.
Attention to Detail:
Diligence in monitoring compliance and ensuring accurate
payroll, auditing, and reporting.

ability to handle complaints and liaise with internal and external stakeholders.
IT Proficiency:
Competent in using administrative software and databases and
Microsoft Office.
Teamwork:
Ability to work collaboratively with management, supervisors, and
other staff to ensure smooth depot operations.
Hours of Work
Basic 38 hours per week.
Flexibility required for hours/days worked (including weekends) in line with
operational requirements.
