Job Overview


We are seeking a dedicated Deputy Practice Manager with primary care experience to join our team. We are a busy, forward-thinking GP practice dedicated to providing high-quality patient care to our community. As Deputy Practice Manager, you will work closely with the Practice Manager and wider team to ensure the efficient delivery of services. You will play a key role in practice administration, supporting staff, and ensuring our systems and processes run smoothly.

About us...



We are a practice consisting of 5 GP Partners, 4 salaried GP's, 5 Practice Nurses, 4 Health Care Assistants, and a lovely admin team. We have around 8,900 patients. We operate from a large multi-purpose building in Eccleshill, where we also have Physiotherapists Social Prescribers, Ultrasound, Epilepsy and memory clinics and the District Midwives. We have a strong training focus in practice, training 6 GP registrars, FY2 doctors, medical students, advanced nurse practitioners, and nursing students. We are an understanding, flexible, warm, supportive multi-disciplinary team, with experienced staff that have worked with us for many years. And we are proud to have a very low staff turnover due to the friendly, professional, rewarding, and supportive environment.

The Role



Assist the Practice Manager and department leads in overseeing daily operations within the Surgery. Supporting the opening and closing of the Surgery. Responsible for all clinical rotas and ensuring adequate cover and arranging locums when required. Responsible for coordinating medical students timetables and inductions. Liaising with third parties for room rentals and room rotas. Ensuring accurate and effective use of SystmOne, including reporting and data management. Supporting the practice with achieving QOF targets by management of long-term condition invites and recalls. Overseeing and monitoring finance tasks such as invoicing, payroll support, and budget monitoring. Supporting the Admin Lead and team with Administrative tasks and pathways. Covering in the Admin team when required. Support and conduct staff training and development. Helping drive improvements in patient care and service delivery. Ensure clinical compliance with CQC and NHS England protocols. Manage patient complaints in guidance with NHS England guidelines.

About You



Strong knowledge and experience of

SystmOne

. Experience with

PATCH'S.

Experience of processing GP referrals to secondary care via chose & book, urgent referrals. Experience in rota management and workforce planning. Experience of dealing with patient complaints. Finance administration skills (e.g. payroll, invoicing, budgeting). Excellent organisational and communication skills. A proactive, problem-solving approach and ability to work under pressure. Previous experience in a healthcare or GP practice setting.
